Tower View Wealth Management LLC is Hiring a Client Administrative Assistant Near Oshkosh, WI

Tower View Wealth Management (“Tower View”), founded in 1999. We offer portfolio management and financial planning services to over 100 households across the United States. Many of which are multi-generational family accounts, and the majority of our clients have been referrals from other happy clients.

The Client Administrative Assistant is responsible for handling all client related paperwork processing needs including but not limited to all custodian paperwork, internal forms and documents, regularly checking mail and scanning documents into systems, filing client essential documents both electronically and physically into files maintained in the branch office. This position will handle all firm mailing needs by preparing envelopes and mailing labels for bulk client communications, ad hoc mailers, and weighing and printing appropriate postage.

This role is approximately 30 hours per week in Tower View’s Oshkosh branch office. The role does have the potential to grow into a full-time position in the future. It does require office hours Monday-Friday, with the occasional option to work from home based upon business needs. This position allows for ongoing education and career growth opportunities to help further develop skills, and further education in the financial industry.

Responsibilities:

  • Prepare custodian paperwork to open new accounts, update account information, initiate transfers, set up bank links and any other paperwork required based upon client requests and needs.
  • Process and submit paperwork and make necessary follow up phone calls to ensure client requests and paperwork are processed in a timely manner
  • Assist in maintaining information in the CRM system including updated client contact information
  • Utilizing our CRM system to provide updates and mark client paperwork as completed
  • Maintain digital and physical files for all clients and ensure essential documents are present
  • Help setting up new client portals and uploading documents to client portals as needed
  • Maintain accurate mailing address records in our Stamps.com system
  • Preparing all mailing and postage needs for the firm including but not limited to quarterly billing envelopes, mass communications, and ad hoc mailed items
  • May support financial advisors and financial planners with task such as recording meeting notes, data entry as requested or any other support that may be required
  • Check mail daily and scan in any necessary items into our systems
  • Willingness to learn financial industry terms and procedures
  • Ability to be trained on other business areas to provide help in backing up other employees during periods of time-off if necessary
