Position Overview:

We are seeking a highly organized and proactive Office Manager / Receptionist with strong office management skills to join our team. This role will be pivotal in ensuring the smooth operation of our office environment and supporting various administrative functions. The ideal candidate should thrive in a fast-paced environment, possess excellent communication skills, and be adept at handling multiple tasks simultaneously.

Key Responsibilities:

  • Office Management:
  • Oversee and maintain office supplies and equipment, ensuring availability and functionality.
  • Coordinate office maintenance and repairs as needed.
  • Manage office budgets and expenses, ensuring cost-efficiency.
  • 2. Administrative Support:
  • Act as the point of contact between President, employees, clients, and external partners.
  • Manage President's calendar, scheduling appointments, meetings, and travel arrangements.
  • Prepare and distribute correspondence, memos, letters, and forms.
  • Assist in the preparation of reports, presentations, and data analysis.
  • Support Human Resources team with various administrative and HR duties.
  • Operations Coordination:
  • Coordinate office operations and procedures, ensuring organizational effectiveness and efficiency.
  • Maintain and update company databases and records.
  • Communication and Correspondence:

- - Answer office phones and forward to appropriate parties.

  • Handle inquiries and requests from internal and external stakeholders promptly and professionally.
  • Oversee monthly internal news letter…TPG Talk.
  • Event Coordination:
  • Assist in planning and organizing company events, meetings, conferences, and employee team-building activities.
  • Coordinate logistics, such as venue booking, catering, and audiovisual equipment setup.

Qualifications and Skills:

  • Proven experience as an Administrative Assistant or Office Manager, or in a similar role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular) and office management software (e.g., ERP systems).
  • Excellent time management skills and the ability to prioritize work.
  • Strong organizational skills with the ability to multitask.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Discretion and confidentiality.

Education and Experience:

  • High school diploma or equivalent; additional qualifications in Office Administration or related field are a plus.
  • 2 years of experience in administrative roles, preferably in an office environment.

Working Conditions:

  • Full-time position, typically Monday to Friday with occasional overtime required.
  • Office-based role at TPG's Operations Headquarters in McKinney TX.
