We are seeking an experienced Office Manager to join our dynamic team at our esteemed law firm known for its inclusive and team-oriented culture. As the Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of our office, handling various administrative and financial tasks. This position does not involve HR responsibilities but requires comprehensive office management experience, particularly with QuickBooks, financial processes such as receivables, payroll, taxes, benefits administration, 401k management, and credit card compliance.

Responsibilities :
Financial Management:
Utilize QuickBooks and Timeslips software to manage accounts receivable and payable, ensuring accuracy and timeliness in invoicing, payments, and financial reporting.
Process payroll accurately and in compliance with federal and state regulations.
Manage tax filings and ensure compliance with all tax-related requirements.
Oversee 401k administration and benefits enrollment processes.
Office Operations:
Maintain office efficiency by implementing and improving administrative procedures and systems.
Coordinate office activities and operations to secure efficiency and compliance with company policies.
Manage office supplies inventory, procurement, and vendor relationships.
Coordinate office equipment functionality and replacement when necessary.
Compliance and Risk Management:
Ensure adherence to legal and regulatory requirements, including credit card compliance.
Implement and enforce internal controls to mitigate risks and maintain compliance standards.
Keep abreast of changes in laws and regulations affecting the office environment.
Team Support:
Provide administrative support to attorneys and staff as needed, including scheduling.
Foster a positive and productive work environment.
Assist in onboarding new employees and providing training on office procedures and policies.
Qualifications:
Proven experience (minimum of 3 years) as an Office Manager or similar role, preferably in a law firm or professional services environment, although not required.
Proficiency in QuickBooks and MS Office Suite.
Strong understanding of financial processes, including receivables, payables, payroll, and taxes.
Experience with benefits administration, including 401k management.
Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively and work independently.
Attention to detail and a high level of accuracy in financial record-keeping.
Strong communication and interpersonal skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Education :
Bachelor's degree in Business Administration, Finance, Accounting, or related field preferred, but not necessary.
