With the opportunity to activate over 200 entrepreneurs and transform an empty space into unique festival experiences, you will manage onsite operations at our events while engaging with the community and customers. As an ambassador for TreasureFest, you will create positive customer experiences, oversee several teams, and maintain an organized event schedule.

About Us

TreasureFest is the Bay Area's monthly festival celebrating everything that makes the region unique. Held on the last Saturday and Sunday of each month, TreasureFest offers a full weekend of local music, art, food, and hundreds of creators and vendors.

Position Summary

The Festival Event Coordinator is essential in overseeing operations at our events. Responsibilities include transportation, equipment, site preparation, and coordination with vendors, guests, and stakeholders onsite. This role ensures world-class hospitality and creates memorable experiences for everyone attending our events. The Coordinator fosters a positive working environment for multiple teams, including production, event support, admissions, cleaning, waste management, traffic, and security.

The Festival Event Coordinator will act as a liaison between daily event operations and the Event Director, making proactive decisions that enhance the overall event experience.

Key Responsibilities

Hospitality:

  • Own the public event, including production, execution, team management, and logistical needs.
  • Champion TreasureFest hospitality and values, creating unique and creative experiences for attendees.
  • Develop and maintain professional relationships with guests, vendors, staff, and stakeholders.
  • Address challenging guest issues with resourcefulness, creativity, and collaboration.
  • Ensure a strong presence within the event to enhance customer experiences.

General administration:

  • Complete detailed daily event reports with notes and pictures, and communicate emergency action items and incidents to the Event Director promptly.
  • Manage event permitting, logistics, vendor communications, project management software updates, and contracts.
  • Serve as a community liaison between the Treasure Island community and TreasureFest management team.

Onsite Event Operations:

  • Secure event equipment in onsite storage areas. Inspect equipment and address repair and purchase needs.
  • Encourage team participation and ownership, focusing on execution, hospitality, and staff engagement.
  • Remove obstacles and potential dangers, keeping areas clean and debris-free before, during, and after events.
  • Lead by example to improve event performance, utilizing communication skills to support team members.
  • Actively participate in and manage setup/breakdown of production elements with team members.

Team Experience:

  • Develop and oversee team accountability and event timeline/schedule.
  • Encourage team participation and ownership, focusing on event execution and customer hospitality.

Work Environment

This job frequently occurs outdoors and is subject to varying environmental conditions.

Approximate Monthly Hours/Shifts:

  • Event Set-Up: 6 hours
  • Event Day One: 14 hours
  • Event Day Two: 14 hours
  • Post Event: 5 hours
  • Video Meetings: 2-3 hours
  • Administrative Tasks: 2-3 hours

Physical Demands

  • Regularly required to talk or listen attentively.
  • Frequently required to climb, balance, stoop, crouch, sit, stand, walk, and make substantial movements (motions) of the wrists, hands, and legs.
  • Frequently required to use hands, handle or feel, and reach, push, and pull with hands and arms.
  • Frequently pushes/picks up/carries equipment up to 25 pounds, and regularly moves/lifts equipment up to 50 pounds.

Qualifications

  • A bachelor’s degree is required.
  • Several years of demonstrated experience in managing core event production tasks such as vendor evaluation and contracting, creating staffing and run-of-show sheets, catering and beverage planning, event production rentals, and similar.
  • Fluency with modern budgeting practices, project management software, and payment software
