Day in the Life of a Prior Authorization and Referral Team Lead Oversees the operations of the authorization department, encompassing authorizations and referrals. Analyze prior authorizations for accuracy and completeness. Achieves staff results by communicating job expectations; planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees; developing, coordinating, and enforcing systems, policies, procedures, and productivity standards. Audits current procedures to monitor and improve efficiency of authorization/referral operations. Ensures that the activities of the authorization department are conducted in a manner that is consistent with overall department protocol, and follow Federal, State, and payer regulations, guidelines, and requirements. Analyzes trends impacting charges and takes appropriate action. Keep up to date with carrier rule changes and distribute the information within the practice/team. Understands and is up to date with current authorization and referral regulations and compliance requirements. Develops, implements, and maintains authorization policies and procedures. Troubleshooting patient billing complaints, develops process improvements to prevent recurrences. Supervises authorization staff, which includes work allocation, training, and problem resolution; evaluates performance and makes recommendations for personnel actions; motivates employees to achieve peak productivity and performance. Responsible for tracking and organizing status of authorizations, inputting authorization numbers into the EMR, and scanning proof of authorization obtained into patients’ charts. Responsible for specific team training and development of team members, providing feedback and monitoring. Prepares reports for various departments pertaining to authorization. Supports leadership in oversight of designated Revenue Cycle Management responsibilities to ensure all RCM functions are worked within the established timeframes. Ensures that quality of work is maintained, and that compliance policies and procedures are followed through billing operations. Conduct team meetings to educate on insurance and authorization guidelines, and complete ongoing re- training efforts. Maintain patient confidentiality and function within the guidelines of HIPAA. Provide resolution support and guidance surrounding all authorization processes and the performance management of all direct reports. Proven leadership and management skills Serves as the practice expert and go to person for authorization processes. Demonstrated analytic, written, and oral communication skills. Takes initiative and daily decision making. Performs other miscellaneous duties as assigned pertaining to job level. Education and Experience requirements High school diploma or equivalent. 3 years of supervisory experience in a similar role. Preferred 3 years authorization and referral experience – in a hospital or physician office setting. Working knowledge of practice management software. General Knowledge of HCPCS, CPT-4 and ICD9-10 coding and/or medical terminology. Familiar with multiple payer requirements and regulations for utilizing benefits. Hours and Schedule Position will be fully in office during training period which may vary depending on candidate's ability to meet competency requirements. Once requirements have been met, the employee may transition to working three days in office per week and two days remote. Position Benefits Have a daily impact on many lives.
