Tri City Healthcare District is Hiring an INFUSION / ONCOLOGY CLINIC FRONT OFFICE COORDINATOR Near Oceanside, CA

Position Summary:

Provides patients and guests with a positive in-person impression. Works with the practice patients, clinical teams, and business offices to optimize the patient experience by assuring smooth patient flow, minimal wait times and overall patient satisfaction. Front Office assignments are rotated at an interval established by the Manager to achieve optimal patient and employee satisfaction.

Major Position Responsibilities:

The position characteristics reflect the most important duties, responsibilities and competencies considered necessary to perform the essential functions of the job in a fully competent manner. The characteristics of the position and standards of performance may be changed by TCMC with or without prior notice based on the needs of the organization.

  • Maintains a safe, clean working environment, including unit based safety and infection control requirements.
  • Assignments rotated at an interval established by Manager. Office responsibilities for all assignment areas:
    • Coordinate peer-to-peer discussions across all front office assignments.
    • Answer phones and return voicemails in a timely manner.
    • Process incoming and outgoing faxes in a timely manner.
    • Completes assigned re-call list in a timely manner.
    • Ensures that patient confidentiality is always protected, both audible and visible.
    • HIPAA Notice of Privacy Practices is on display and given to all new patients and then every three years.
    • Ensure compliance with all medical practice regulations, such as, but not limited to; HIPAA and OSHA.
    • May assist patient with forms completion in person.
  • New Patient Coordination:
    • Provides information needed for patient visit including directions to the appointment location(s).
    • Schedules new patient appointments.
    • Ensures complete records are obtained prior to scheduling appointment.
  • Check-In Patients NCO & Laboratory:
    • Updates all patient demographic information into the Practice Management system and registers new patients.
    • Accurately ensures that all visit paperwork is ready at time of visit, including obtaining prior authorization for office visit if not on file.
    • Verify eligibility, collects and scans patient ID card, insurance ID card into PM/EHR system.
    • Collects and scans any needed signatures on financial, HIPAA and arbitration forms.
    • Collects co-pay, coinsurance, deductible or balances due.
    • Enters all required MACRA measurements onto EHR at the time of arrival.
    • Scans front office documents into EHR system and catalogs to patients' chart.
  • Check-In Patients Infusion:
    • Updates all patient demographic information into the Practice Management system.
    • Prepare patient record/packets daily for distribution to hospital medical record.
    • Verify eligibility and create FIN numbers for infusion patients.
  • Check-Out Patients NCO:
    • Coordinates schedules for follow up appointments with all referring providers of service.
    • Ensures prior authorizations & orders are up to date and distributes to the appropriate referring facility.
  • Medical Records:
    • Process medical records requests from outside physicians, auditing entities and patients.
    • Download transcribed documents and send to physicians for signature and process accordingly.
    • Verify eligibility and create FIN numbers for infusion patients.
  • Performs additional duties as assigned.

Qualifications:

  • Experience with Insurance (HMO, PPO), preferred
  • Front Desk experience, required
  • Minimum of 1 year of experience in health care, required
  • Understands insurance verification for new and current patients.
  • Strong background in customer service.
  • Is competent in the areas of leadership, teamwork and cooperation.
  • Demonstrates strong ethics and a high level of personal and professional integrity.
  • An effective communicator at all levels in the organization, with strong oral, written and persuasive skills.
  • Bilingual, preferred.

Education:

  • High school diploma or GED, required.

Certification:

  • Current BLS certification from the American Heart Association (healthcare provider), preferred.

Each new hire candidate who is offered employment must pass a physical evaluation, urine drug screen and pre-employment background checks before starting work.

*Salary/Hourly Wage range based on experience.
