Job DescriptionTITLE: Central Office Personnel Assistant
JOB GOAL: This position helps maintain a smooth and efficient operation of the central office while providing essential administrative support to various departments, particularly the Human Resources department. You will serve as the primary point of contact for visitors, parents, staff, and stakeholders within the school corporation.
Qualifications (skills/Experience/Training Required)
  • High School Diploma or equivalent; Associate degree or higher preferred.
  • Proven experience in an administrative support role, preferably in an educational office setting.
  • Familiarity with human resources processes and procedures is preferred.
  • Proficiency in Office Suite and other relevant software applications.
  • Excellent communication skills, both verbal and written.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
  • Ability to work both independently and collaboratively with a wide range of individuals.
  • Maintain a professional and positive demeanor in all contact with district staff and external community
Performance ResponsibilitiesFront Desk Management:
  • Greet visitors, parents, and staff with a friendly and professional demeanor.
  • Answer phone calls, transfer calls to appropriate personnel, and take messages as needed.
  • Manage incoming and outgoing mail and packages.
  • Maintain a clean and organized reception area.
Administrative Support
  • Assist various departments with administrative tasks, including typing, filing, photocopying, and data entry.
  • Maintain organized filing systems, including personnel files and central filing, ensuring adherence to retention schedules.
  • Prepare and distribute correspondence, reports, and other documents.
  • Update and maintain databases, records, and filing systems accurately.
Human Resources Assistance
  • Assist in the onboarding process for new hires, including preparing paperwork, coordinating orientation sessions, and facilitating the completion of required forms.
  • Coordinate criminal history checks for new hires, existing employees, and substitutes.
  • Support the Human Resources department with recruitment activities
  • Oversee the application process for prospective substitute teachers, schedule interviews, and manage the absence management system.
  • Maintain personnel records and ensure compliance with record-keeping requirements.
  • Assist with benefits administration tasks, including enrollment, changes, and inquiries.
  • Coordinate employee training and development activities as directed by the Director of Human Resources.
  • Handle employee inquiries and requests related to HR and payroll matters with professionalism and confidentiality.
Other duties as assigned.
PHYSICAL DEMANDS The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions.
  • Persons performing service in this position classification will exert 10 to 20 pounds of force frequently to lift, carry push, pull, or otherwise move objects.
  • This type of work involves sitting most of the time but may involve running, walking, or standing for brief periods.
  • Perceiving the nature of sound, near and far visual acuity, depth perception, providing oral information, the manual dexterity to operate business-related equipment, and handling and working with various materials and objects are important aspects of this job.
