About the job

Under the direction of the CFO, the Office Manager/HR Administrator supports the Company Operations by maintaining office systems and coordinating and supporting the HR activities of the Company.

Duties and responsibilities

This list of duties and responsibilities is not all-inclusive and may be expanded to include other duties and responsibilities that management deems necessary from time to time.

Office Management

Maintain office services by organizing office operations and procedures, controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

First impression for all incoming visitors; bolstering company beliefs and culture as that first impression of the company.

Ensuring a positive experience and needs are met while visiting our office.

Supporting the company leadership team in running the day-to-day business of the company. 

Supporting a positive work environment for all employees by ensuring a positive presentation of the office, checking in with team members on any office needs, and taking extra steps to enhance the overall office experience.

Coordinate and plan company functions.

Work closely with Operations and Fleet to maintain construction licensing and proper equipment and fleet compliance reporting for both state and federal requirements.

Answer incoming phone calls and transfer/assist as needed.

Maintain incoming and outgoing mail.

Maintain office supplies and stock as needed.

Other duties as assigned.

Human Resource Administration

Administer Company HR policies and procedures, ensuring compliance with local, state, and federal regulations.

Manage recruitment processes with department leaders, including posting job ads, screening candidates, assisting interviews, and onboarding new employees.

Maintain employee records and manage HR documentation, including contracts, performance evaluations, and disciplinary actions.

Administer employee benefits programs with company’s benefits partner, including health insurance, retirement plans, and leave management.

Assist in developing and implementing HR strategies and initiatives aligned with the company’s goals.

Support the department leaders in relations issues and provide support to employees regarding HR matters.

Administer training sessions for employee development, HR policies, procedures, and company culture.

· Champion of Tri-State Drilling, LLC Beliefs and Culture

· Construction Experience a must.

· Knowledgeable in Microsoft Office 365 (SharePoint, OneDrive, Outlook)

· Requires four years of high school and two years of related experience, or three to five years of related experience, or a combination of education and experience.

· Ability to read and comprehend simple instructions, short correspondence, and memos.

· Ability to write simple correspondence.

· Ability to effectively communicate with customers and other employees of the organization. Good communication skills required.

· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage.

· Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.

· Demonstrated ability to work with coworkers from diverse cultural backgrounds.

· Ability to work with Tri-State to create an inclusive environment where all are welcomed.

Working conditions

· While performing the duties of this job, the employee works inside a temperature-controlled building. The noise level in the work environment is usually quiet.

Physical requirements

· While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or touch objects, tools, or controls; and talk or hear.

· The employee is occasionally required to stand; walk; reach above shoulders; and stoop, kneel, or crouch.

· The employee must occasionally lift and/or move office supplies, files, and reports weighing up to 15 pounds.

· Specific vision abilities required by this job include close vision and the ability to adjust focus.
