We’re looking for a full-time Office Coordinator to be the newest addition to our team of A-Players.

What You’ll Do Here We are seeking a highly organized and proactive Office Coordinator to oversee the smooth operation of our office environment. The ideal candidate will be responsible for a variety of tasks including answering phone calls, office maintenance, ordering supplies, shipping, and receiving packages, and general office duties. The Office Coordinator will play a crucial role in ensuring the office runs efficiently and effectively, providing support to staff and visitors alike.

Responsibilities

  • Serve as the main point of contact for phone queue, phone team, and phone calls as they come in: Professionally manage incoming calls, directing them to the appropriate person or department as needed.
  • Office Maintenance: Oversee the maintenance and cleanliness of the office space, ensuring it is tidy, organized, and presentable. Coordinate communication with various vendors to maintain office functionality. Call contacts for maintenance repairs when they arise.
  • Ordering Supplies: Monitor inventory levels and proactively order office supplies to ensure adequate stock is maintained.
  • Shipping: Handle outgoing UPS shipping and other mail services, preparing packages for delivery and ensuring timely dispatch.
  • Trash Management: Empty main trash receptacles as needed throughout the week, ensuring a clean and hygienic workspace.
  • Recycling: Manage the recycling program within the office, ensuring proper disposal and recycling of materials.
  • Mailroom Organization: Maintain the organization of the mailroom, sorting and distributing incoming mail and UPS items as required.
  • Kitchen/Pantry Item Maintenance: Monitor and refill office refrigerators and pantry with beverages and snacks, ensuring they are stocked and orderly.
  • Visitor Assistance: Greet and assist all visitors to the office, providing directions and support as needed.
  • General Office Cleaning: Perform light cleaning duties such as cleaning glass doors. Keeping main office and conference room tidy and neat.
  • Front Desk Requests: Handle front desk inquiries and requests, providing assistance and information to visitors and staff.
  • Additional administrative duties as assigned.

Qualifications

  • Proven experience in an office or administrative role, 3-5 years preferred.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and prioritize tasks effectively.
  • Attention to detail and a proactive approach to problem-solving.
  • Familiarity with office equipment and basic maintenance tasks.
  • High school diploma; additional qualifications in Office Administration or related field is a plus.
