As Assistant Investment Services Practice Coordinator you will:
  • Answer client calls and inquiries promptly and assist with problem resolution
  • Prepare all paperwork for client meetings and process paperwork upon completion
  • Be proficient in use of FieldNet, Streetscape, DST Vision, various mutual fund sites and managed account sites etc.
  • Copy/forward all documents to the appropriate departments for review and approval; follow up and verify account set up, account numbers, and confirm asset transfers
  • Record and maintain files in accordance with Compliance Policy & Procedures
  • Review incoming/outgoing mail and other written correspondence, client complaints, etc.
  • Process trades for clients, set up and process DWAC/DTC delivery of securities, obtain transfer agents docs as needed, confirm transfer/receipt of assets
  • Coordinate producer's calendar - scheduling client annual review meetings
  • Manages producer's client relationship management system (CRM)
  • Coordinate client service requests
  • Coordinate client communications and status updates (via phone, mail & email)
  • Prepare weekly service reports for producer
  • Track open cases, referrals and service issues
  • Maintain records of sales and commission data
  • Coordinate marketing efforts and client events
  • Scan and electronically organizing forms, statements, licenses and other miscellaneous documents
  • Other duties as assigned
Qualified applicants should possess the following:
  • High school diploma
  • Life & Health license - active or able to obtain within 3 months of employment
  • Series 6 license is preferred and will be required after 6 months of employment
  • Must be extremely organized and show great attention to detail
  • Ability to work in a fast-paced environment
  • Strong written and verbal communication skills
  • Data entry and clerical skills
  • Proficiency in appropriate software, including but not limited to Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams) and Adobe Acrobat
