Tricia Quaid Landscape Design, Inc. is a dynamic, growing company, and our creative team crafts beautiful gardens in Dallas, Texas. To keep all the moving parts running smoothly, we are looking for a confident, motivated, organized Administrative Assistant to join our group.

Duties and Responsibilities:

• Enter daily timesheets from landscape crews into QuickBooks Online billing system.
• Prepare monthly invoices for all Garden Maintenance and Landscape Installation clients. Send to clients in a timely manner. 
• Enter Credit Card expense receipts in QuickBooks Online.
• Enter Accounts Payable bills / invoices from vendors in QuickBooks Online.
• Assure that new vendors who are subcontractors provide their W-9 and Certificate of Insurance. 
• Process and mail Accounts Payable outgoing checks.
• Prepare Accounts Receivable deposits.
• Answer telephone calls, take messages, and give to the appropriate person. Retrieve voicemail messages.
• Reply to emails and clear inbox daily.
• Update vendor pricing in QuickBooks Online as new updates roll out quarterly.

Qualifications:

• Thorough knowledge of QuickBooks Online.
• Good knowledge of MS Office and Google Suite, especially Google Sheets (Excel).
• Experience with invoicing.
• Bilingual in Spanish and English is very useful but is not required.
• Good interpersonal skills, team building, organizational and time management skills.
• Strong written and organizational skills.
• Ability to work in a dynamic environment where all phases of garden development are being planned and executed. Plant knowledge is not required, but we talk about plants all day long.
