BASIC FUNCTIONS

The Compliance Administrator will provide support to the Quality Compliance team in maintaining a strong overall Quality Compliance Program including the Quality Management System and Supply Chain. This individual has the responsibility and authority to carry out all assigned tasks.

SPECIFIC DUTIES

  • Produce detailed Excel, Word and PowerPoint reports/presentations as needed by Department Leads. Organize, update and maintain files related to compliance projects.
  • Assist Compliance team with functions related to document control.
  • Manage, consolidate, and maintain all Compliance Trackers and Logs
  • Create, maintain, and monitor tracking documentation for project progress and results.
  • Responsible for sending weekly External Provider activity report.
  • Update management on open items related to projects.
  • Coordinate schedules, activities, meeting minutes and follow-up action items.
  • Act as a backup to External Provider Qualification program; identify risks and opportunities for improvement.
  • Responsible for updating all vendor files in EPDS as per approved Vendor Forms.
  • Conduct internal audits throughout the organization as directed by the Audit Program Manager in accordance with ISO19011
  • Assist Quality Compliance Manager with facilitating registrar and customer audits.
  • Assist Compliance team with preparation of Quality Management Reviews, acquiring accurate data necessary to communicate the Quality Management System
  • Approval of returned vendor surveys and upload to ERP system.
  • Completion of Quality Self-Assessments by industry on request to customers along with current CTG certifications.
  • Collecting data of all customers from Account personnel, sending out quarterly customer surveys and analysis of data received by gathering scorecard information from customers.
  • Retention of Customer Score Card information when received.
  • Daily monitoring of parts alerts databases, from ERAI, GIDEP, FAA and EASA. Maintain a database of known suspect counterfeit parts at CTG and their disposition.
  • Send notifications regarding parts alert to the appropriate personnel in the event a part was shipped in the past or present.
  • Assist finance with setting up AP Vendors and making any necessary modifications to vendor files.
  • Review all revisions applicable to External Standards and Internal Quality Manual and affiliated documents on a quarterly basis and

maintain a log of documenting revision dates of last review. If any applicable changes are identified, notify the Department Manager and the Quality Compliance Manager.

  • Ensure compliance with company code of conduct and all applicable laws, regulations, rules and policies.

STANDARD REQUIREMENTS

Comply with all requirements of International Standard ISO9001 and ISO27001, NIST 800-171, CMMC – Cyber Security and Informational Data Security Requirements. Aerospace Management System Standards AS9100, AS9120, IDEA-QMS-9090, ASA-100 and supporting construct standards AS6081, IDEA-STD-1010, AC7402-CAAP, CCAP-101, FAA AC00-56, ANSI/ESD S20.20. All employees shall commit and comply with the requirements of AS5553 for Counterfeit Electrical, Electronic and Electromechanical (EEE) Parts – Avoidance, Detection, Mitigation and Disposition practices

METRICS AND MEASURABLES

  • Weekly recertification rate to meet annual requirements for External Providers (as needed with Supply Chain designee)
  • Re-Certification rate average turn time.
  • A.P. Vendor Weekly completion rates.
  • Procurement (Sales) Weekly completion rates
  • Sub-Tier assessments submitted for completion return rates.
  • New Sub-Tiers added monthly.
  • Closures of all said projects within CTG’s Compliance Project Management tool
  • Customer Scorecard received quarterly
  • Customer Surveys received and documented monthly
  • Sub-Tier assessments submitted for completion return rates

EDUCATION / EXPERIENCE / COMPENTENCY

  • High School Diploma or equivalent, College education preferred.
  • 1-3 years of Administrative experience.
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, Excel and Project Management Tools.
  • Detail oriented and comfortable working in a fast-paced office environment
  • Exceptional communication skills.
  • Superior organization skills and dedication to completing projects in a timely manner.
