Trinity Partners is Hiring an Executive Administrative Assistant/Brokerage Coordinator Near Charlotte, NC

Trinity Partners is searching for an Executive Administrative Assistant/Brokerage Coordinator to join our team. The perfect person for this job will be the very definition of a team player. You will be working in a fast-paced office supporting the Managing Partner and the Charlotte Office Leasing team. There’s no such thing as “that’s not my job” in this position. Your job will be to do whatever it takes to help your team succeed, and Trinity Partners provides the support, culture, and environment for you to do just that.
Responsibilities
  • Provides daily, high level administrative task support for the Managing Partner and Office Leasing team
  • Organizes, executes, and assists with onsite and offsite meetings and events, including scheduling, sending reminders, organizing catering, and providing support during event
  • Assist with tours and coordinate with marketing team on broker and client events (Fall Trip assistance)
  • Gather and prepare tour book information
  • Collaborate and engage with brokerage team to enhance productivity, preparing correspondence, documents, proposals, requests for proposals, LOIs, and reports
  • Coordinate with Brokerage Administrator and Brokerage Team to manage and maintain marketing material accuracy across all online CRE listing platforms
  • Collaborate with marketing team on portfolio’s marketing strategy, development, and execution. Liaison between brokerage and marketing
  • Compile and analyze research and develop content and narratives to support marketing efforts for materials including, but not limited to offering memorandums, flyers, pitches, proposals, market tours, postcards, mailers, case studies, lease abstracts
  • Work with the Director, Analytics to maintain and manage current market research, including information needed for custom aerials, lease and sales comps, and deals in the market
  • Update and maintain prospect and client databases
  • Maintain and manage deal files
  • Meet weekly with brokerage team/service line and marketing to enhance productivity
  • Assist with content creation and execution of the Office leasing team's social media accounts
  • Track and administer JetAway account info and balances
  • Compute commission invoices and track timing of invoices/payments
  • Handle other duties as required
Requirements
  • Minimum of 5 years administrative experience supporting a senior executive.
  • Minimum of 3 years relevant experience in commercial real estate, research, or closely related field
  • Advanced understanding of the Microsoft Office Suite, including Word, Excel, and Outlook
  • Exceptional professional verbal and written communication and interpersonal skills
  • Excellent analytical, written, and oral communication skills
  • Exceptional organizational skills, data collection, validation, and auditing skills
  • Team-oriented mindset; willingness to work with a diverse set of service lines and colleagues
  • Keen eye for detail; ability to check behind yourself and edit, self-correct, and keep company best practices front and center
  • Independent drive: ability to take an idea and run with it
  • Ability to multitask and work efficiently with tight deadlines
  • Engaging attitude, flexible nature, and willingness to problem-solve
  • Ability to prioritize multiple projects and tasks while ensuring all customer groups receive timely attention, strong time management skills
  • Understanding or experience with CoStar, LoopNet, Site-to-do Business (CCIM), preferred
  • Must be willing to tackle tasks of all sizes, "no job is too small" mentality
  • Emotional maturity
  • Valid driver's license required
  • Bachelor’s degree preferred
  • Active NC Real Estate License preferred, but not required
