The DOT & Fleet Compliance Specialist plays a pivotal role in ensuring the company's fleet drivers and vehicles adhere to company policies, State, and Federal regulations. Expertise in driver qualification file requirements and management, Hours of Service (HOS), and Federal Motor Carrier Safety Administration (FMCSA) regulations are essential in overseeing driver training and maintaining compliance records.

What you'll do:

  • Oversee and assist with all aspects of DOT compliance, including but not limited to driver qualification files, MVRs, drug & alcohol programs, ELD logs, vehicle inspections, and audits.
  • Developing and implementing policies, standard operating procedures (SOPs), manuals, and training programs to ensure compliance with DOT & Fleet compliance regulations.
  • Collaborate with and support field representatives, drivers and Leaders on Regulatory Compliance program requirements and adherence.
  • Vendor relationship and performance management.
  • Oversee Samsara System administration and monitoring to ensure all employees with driving privileges are complying.
  • Oversee and assist with administering the Driver Training program to ensure all employees with driver privileges are certified and recertified as needed.
  • Apply knowledge of DOT/Regulatory Compliance to solve complex business processes and procedural problems.
  • Provide support to Legal, regulatory, and law enforcement inquiries relating to our fleet.
  • Maintain a high level of fleet industry knowledge, including but not limited to Federal and State DOT requirements and changes, vehicle supply chain issues; vehicle upfitting compatibility by make/model; specific manufacturer’s order timelines; etc.
  • Open to performing other non-DOT fleet responsibilities, which includes but in not limited to assisting field personnel with inquiries related to the fleet program, troubleshooting, and addressing questions about vehicle orders, upfitting, title and registrations, as well as violations.
  • Assist with the management of the Departmental SharePoint site administration.
  • Deal with a wide variety of people with tact, courtesy, and professionalism.
  • Partner with Team members, other Departments, and organizations to achieve overall company objectives.
  • Maintain a high regard for personal safety, the safety of company assets and employees, and the public.
  • Other daily, weekly, monthly, or special project duties as identified and defined.
  • Must be able to travel to locations.

What you'll need:

  • Bachelor’s or Associate’s degree from an accredited institution in a relevant field.
  • A minimum of five (5) years’ direct DOT/Regulatory Compliance work experience may be considered as a substitute for a degree.
  • A minimum of three (5) years’ DOT/Regulatory Compliance experience.
  • A minimum of three (3) years’ experience in automotive and/or fleet management. Ideal candidates should have exposure to various aspects, including vehicle acquisitions, upfitting, fuel and maintenance management, telematics, title and registrations, and vehicle remarketing.
  • Expertise in DOT compliance, driver qualification, and state and FMCSA regulations.
  • Strong analytical skills with the ability to interpret data and identify areas for improvement.
  • Intermediate proficiency with Microsoft Office 365 applications including but not limited to: Excel, Word, Access, Outlook and PowerPoint).
  • Excellent communication and presentation skills, with the ability to translate complex information into clear and concise recommendations.
  • Proficient in composing routine reports, standard operating procedures (SOPs), and written correspondence.
  • Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers.
  • Ability to successfully organize and perform multiple tasks simultaneously, frequently under strict deadlines. Intermediate with business process mapping, analytics, and data visualization software.
  • Demonstrated excellent verbal, listening and written communication skills, with the ability to communicate with a variety of individuals and personalities at all levels internally and externally.
  • Proficient Communication Skills: Whether in face-to-face interactions, over the phone, or via email
  • Demonstrated experience training in both large and small group settings.
  • Ability to work independently to manage tasks and timelines.
  • Ability to successfully perform the required and expected duties with minimal direct supervision, organize and prioritize daily work, and consistently show initiative.
  • Critical thinking skills, including logical thought processes, with the ability to resolve complex issues.
  • Utilize strategic approach for planning and problem solving, with a “continuous improvement” mindset.
  • Ability to mentor and lead personnel with tasks and organizational goals and objectives.
  • Work cooperatively and effectively with others and maintain confidentiality when appropriate.
  • Must be able to perform all essential and marginal functions of the job.
  • Must be able to collaborate with teams, take direction from management, focus attention on details, follow work rules and adhere to established work schedules.
  • Ability to successfully perform multiple tasks with strict deadlines.
