Troutman Pepper is Hiring a Legal Practice Assistant Near Charlotte, NC

The Legal Practice Assistant (LPA) will handle a broad spectrum of complex administrative and billing support, including completing narrative edits, entering partner time, finalizing invoices, handling AFAs, maintaining billing reports, and partnering with the Client Billing team for more complex issues. The LPA will also perform a wide range of routine administrative tasks for attorneys and other timekeepers.
Essential Duties And Responsibilities
  • Distribute and review client invoices, utilizing up-to-date knowledge of client billing requirements.
  • Collaborate with firm professionals and attorneys on billing-related needs, utilizing client-related case management protocols, monitoring the billing pipeline, and providing portfolio-level reporting as required.
  • Provide feedback to with administrative staff and participate in processes to streamline the firm's billing and collections processes, leveraging internal technological tools.
  • Manage billing spreadsheets and tracking of bills, applying project management principles to enhance legal service delivery
  • Liaise with administrative departments to coordinate all aspects of workflow support for attorneys.
  • Open and close new matters and submit requests for conflicts of interest checks as part of new client and business development efforts.
  • Process expense reimbursement requests and invoices.
  • Prepare routine correspondence, read, and route mail, conduct general research, and maintain files.
  • Handle complex edits in legal documents.
  • Provide coverage for phone contacts and routing of voice mail messages.
  • Ensure effective calendar management, with the ability to prioritize meetings and resolve calendar conflicts; proactively organize and manage schedule changes for events and meetings.
  • Arrange travel for assigned attorneys; create and submit related expense reports.
  • Provide overflow assistance to administrative legal support team.
  • Assist in fostering an environment of superior customer service, collaboration, commitment, team spirit, pride, and trust.

  • Ability to take initiative, set priorities, and see projects through to completion.
  • Ability to work effectively both independently and with a team to promote consistent and efficient workflow processes.
  • Ability to communicate effectively, both verbal and written.
  • Excellent grammar, punctuation, and proof-reading skills.
  • Ability to maintain the confidentiality of attorney and client information.
  • Advanced knowledge of Microsoft Office, particularly Word, Excel, and PowerPoint.
  • Ability to use collaboration software such as Microsoft Teams, financial tracking, task management software, and various other tools.
  • Ability to solve complex problems and exercise good judgement based on the analysis of multiple sources of information.
Education And/or Experience
  • Bachelor’s degree from an accredited college or university; any combination of training, education and experience that demonstrates the ability to perform the essential duties of the position may be considered.
  • Minimum of four (4) years of experience in a billing support role in a legal or professional services environment; experience working in an administrative support role in a legal or professional services environment beneficial.
