Job SummaryResponsible for monitoring and managing fiscal processes, including but not limited to purchase orders, in-kind and inventory. Performs administrative support duties for multiple administrators within a collaborative work environment.
ESSENTIAL FUNCTIONS: Build and maintain strong interpersonal relationships with customers and colleagues. Perform daily support functions such as drafting and/or finalizing correspondence, ordering materials, and staff support. Proficient use of all Microsoft Office applications, with demonstrated expertise with Word, Excel, Access, PowerPoint, Outlook, and SharePoint. Create the required financial reports needed for Policy Council and Governing Board meetings. Collect and analyze data for the children transitioning to kindergarten through the third grade. Process local mileage for all Head Start and Early Head Start staff. Manage and maintain accurate budgets (creating purchase orders, maintaining accurate balance sheets, and submitting invoices for payment) Create and process purchase orders for program supplies requests received to fill classroom orders. Collect and analyze Non-Federal Match data and submit reports to the treasurer's office, the director and coordinators in a timely manner. Collect and update all Non-Federal Match amounts from current appraisals of donated space for classrooms in the appropriate spreadsheets. Assist with grant applications when needed. Annually track agency inventory including tagging supplies and equipment. Enter fiscal data, maintain accurate records and prepare reports as necessary. Create and maintain databases. Assist in updating fiscal and education policies and procedures. Perform other duties as assigned to assist in providing services to the program
OTHER PERFORMANCE RESPONSIBILITIES: Ensure program confidentiality by limiting conversations and access to information. Serve as a resource to staff when questions or instructions are requested. Ability to establish positive relationships. Ability to prioritize tasks to meet program needs.
Terms Of EmploymentShall be appointed to a limited contract with the number of work days established by the employment contract. Salary to be established by the Board.
EvaluationPerformance will be evaluated in accordance with the provisions of the Governing Board's evaluation policy.
