Job DescriptionPosition Type: Full - TimeDistrict Secretary2024-2025 School Year - 158 days/8 hours per day (possible additional days to be added as needed)summary:Bilingual PreferredUnder general supervision, performs a wide variety of secretarial/clerical work and handles daily work pressures, requiring constant concentration to a volume of work which must be completed within a limited period of time.
ESSENTIAL DUTIES And RESponsibilities:Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
Follows and maintains knowledge of all District policy(ies) and procedures. Performs general office duties including answering multi-line phones, routing telephone calls or messages to appropriate staff, greeting the public, typing, proofreading, filing, sorting and handling incoming and outgoing mail. Completes a high volume of computer data entry work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions. Serves as receptionist and gives information or directs visitors and parents to appropriate offices. Processes student enrollment, withdrawal and immunization records, creates reports as requested. Tracks and reports student attendance and absences. Processes student fees and other miscellaneous fees, makes deposits and reports as required. Appropriately maintains and secures confidential records and inquiries. Evaluates student injuries, determines course of action, performs minor first aid in compliance with District policy(ies) and completes required paperwork in a timely fashion.
Administers medications within the scope of District policy(ies) and state and federal law. Answers inquiries concerning standardized policies, procedures and regulations. Communicates with a wide variety of parents, staff and community members. Types a variety of materials from brief verbal or written instructions. Supervises students in main office area. Manages special projects as assigned. Professionally represents the school and the District in interactions with parents, students, community and staff. Maintains appropriate certifications and training hours as required. Complies with applicable District, state, local and federal laws, rules and regulations. Attends work regularly and is punctual. MARGINAL DUTIES AND RESPONSIBILITIES Marginal duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
Attends in-service trainings. Attends staff meetings. Troubleshoots office machinery (copy, fax, postage meter etc.) coordinating maintenance and supply inventory. Reports issues to authorities as necessary, animal control, suspicious activity etc.
SUPERVISORY RESPONSIBILITIES All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.
Work EnvironmentThe work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The work environment is in a school that combines standard office setting including standard office equipment (fax, copier, phone, computer, 10-key, etc.) with the standard school setting. The noise level in the work environment is usually low to moderate and occasionally high depending upon student population and activities. Employee may be exposed to blood borne pathogens.

Assessment And The Use Of Assessment Information: Maintains and records appropriate data for designated instructional programs established by teacher or specialist. Assists the licensed teacher or specialist with the collection of data required in conjunction with each child or student (attendance, progress reports, grades, etc.).
Communication: Communicates clearly with stakeholders including other school staff, specialists, outside agency personnel, and administration regarding children and students as directed by licensed staff or administrator. Seeks additional information from licensed teacher, specialists, and administration as warranted. Participates effectively at regular team meetings with licensed staff and other support staff using appropriate social skills, problem solving and conflict resolution strategies.
Professional Conduct: Identifies professional strengths and limitations and sets and meets performance goals. Contributes to a positive school environment by: Tolerating others' points of view Soliciting input from others Resolving conflict at the lowest level possible Responding effectively to crisis situations Understands and follows Perrydale School District No. 21 procedures, especially as outlined in the Staff Handbook. Acts conscientiously by:
  • maintaining good attendance
  • being punctual for stated work hours and meetings
  • notifying appropriate staff and others of absences and schedule changes in a timely manner
  • completes required paperwork in specific time and manner.
SUPERVISORY RESPONSIBILITIES:None QUALIFICATIONS:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Education and/or Experience: High school diploma or General Education Diploma (GED). Preference for at least six months' related experience and/or training or equivalent combination of education and experience. Prior successful experience working in as an instructional assistant setting strongly preferred.
Interpersonal Skills: Works well with others. Focuses on resolving conflict, maintains confidentiality, listens to others without interrupting, keeps emotions under control, remains open to others' ideas, and contributes to building a positive team spirit.
Language Skills: Ability to communicate fluently in English, verbally and in writing. Ability to effectively present information and respond to questions in one-on-one and small group situations to students, parents and other school staff. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routing reports and correspondence.
