The following vacancy exists in Goshen Community Schools for the 2024-25 school year:
Goshen High SchoolMusic Office SecretaryPOSITION PURPOSE: The High School Music Department Secretary plays a vital role in supporting the administrative functions of the music department. This position involves various duties, including managing communications, maintaining records, coordinating events, and providing general administrative support to the music faculty and students. The ideal candidate will have excellent organizational skills, a solid attention to detail, and a passion for supporting the arts.
Essential Functions
  • Provide administrative assistance to the music department faculty, including the department head and music teachers.
  • Manage calendars, schedule meetings, and arrange appointments.
  • Prepare and distribute communications, including memos, emails, and newsletters. Maintain and organize departmental files, records, and documents.
  • Assist in planning and coordinating music department events, such as concerts, recitals, competitions, and field trips.
  • Handle event logistics, including booking venues, arranging transportation, and coordinating with vendors.
  • Prepare and distribute event promotional materials and programs.
  • Serve as a primary point of contact for students, parents, and visitors to the music department.
  • Answer phone calls and emails, providing information and assistance as needed.
  • Assist with student enrollment and scheduling for music classes and activities.
  • Assist in the management of the music department budget.
  • Process purchase orders, invoices, and reimbursements.
  • Track expenses and assist with financial reporting.
  • Manage the inventory of music department supplies, equipment, and instruments.
  • Coordinate the maintenance and repair of musical instruments and equipment.
  • Oversee the lending and return of music department resources to students and staff.
  • Assist with preparing and distributing sheet music and other instructional materials.
  • Support the music faculty with classroom setup and organization.
  • Help manage student participation in music programs, including tracking attendance and performance records.
  • Perform general office duties such as photocopying, filing, and data entry.
  • Ensure the music department office is organized and well-maintained.
  • Handle mail and deliveries for the music department.
Requirements
  • Must be at least 18 years of age
  • High school diploma or GED
  • 6 months - 1 year related experience and/or training; or equivalent combination of education and experience.
Qualifications
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize work effectively.
  • Attention to detail and accuracy.
  • Familiarity with music terminology and basic music theory is a plus.
  • Ability to work collaboratively with faculty, students, and parents.
HOURS: Extended school year; 214 days per year; 20 hours per week, daily hours can be determined upon hiring
SALARY: $17.50-$18.25, rate is dependent upon education and/or experience. (Schedule #22-1)
