Job Objective:
Perform secretarial, receptionist, and office management functions for the Superintendent. Recognize that each contact with the public is an opportunity to promote a positive impression of the school district.
Minimum Qualifications:
High school diploma or equivalent.
Evidence of a clear record as determined by the Bureau of Criminal Identification and Investigation (BCII) and the Federal Bureau of Investigation (FBI).
Demonstrate ability to competently use office procedures, protocol, and the use of general office machines (printer, copier, fax, and computer). Be highly proficient with computers particularly with MS Office (all products including Word, Excel, Power Point, Outlook and publisher) Google (all products including Drive, Docs, Sheets and Forms), and utilize various applications including running reports, spreadsheets and mail merges.
Knowledge of Canva, or willingness to take initiative to learn.
Ability to achieve competency performing staff EMIS.
Exceptional interpersonal, organizational, communication (both written and verbal) and crucial thinking skills. Must have good grammar skills.
Ability to proofread accurately own and other's work.
Proficient with effectively using email to send, search, forward and respond.
Job Duties, Responsibilities, and Essential Functions:
Maintain confidentiality and professionalism interacting with staff, public and parents.
Central enrollment of new and kindergarten students.
Assistance with District public relations and social media.
Public records clerk; assist with record retention. Must learn public record request laws and requirements.
Assist with maintaining district lists of compliance and coordination of training and compliance via Vector/Safe Schools.
Maintain all personnel files and licensing information.
Coordinate yearly background checks and maintain records of compliance.
Coordinate and attend District job fair.
Prepare board packets and agenda for distribution. Post minutes electronically for public viewing.
Possess ability to learn and use software programs and data management systems, such as EMIS.
Attend all mandatory meetings and training programs. Prepare all state reports, and other reports as directed, including extensive Civil Rights reporting.
Coordinate committees and task forces.
Responsible for typing correspondence, reports, press releases, and other documents necessary for the Superintendent to fulfill his or her duties.
Gather and organize dates required to keep the Superintendent informed of pertinent issues.
Take initiative to make job-specific decisions to prioritize and manage projects.
Responds to calls and requests in a timely, professional manner.
Type correspondence, reports, spreadsheets, and other routine documents.
Prepare, duplicate and organize materials as directed.
Prepare purchase orders.
Collaborate and work with other personnel as directed by the Superintendent.
Operate all office equipment. Monitor and schedule equipment maintenance, when necessary.
Participate in professional growth activities, when requested.
Perform other duties, as directed.

Set according to superintendent's secretary salary schedule, commensurate
Contract:
248 days, 7.5 hours
