Job Description:

The Marketing/Operations Associate is real estate associates' primary point of contact. Based out of TTR Sotheby’s International Realty brokerage offices, the Marketing Associate provides support and training for brokerage tools and systems, Rechat, My Marketing Matters, Workplace, DASH, and Brokerage Engine, and assists agents in the production of branded marketing materials, including brochures, postcards, email, and social media graphics. Marketing Associates report to the Managing Broker and Director of People and Operations and work in concert with The Marketing Team.

Responsibilities Include:

  • Customer Service — A sincere and genuine desire to deliver elevated customer service to our roster of real estate agents and their clients and collaborate with our leadership team members.Training and Support—Provide training and support for frequently used platforms including but not limited to Rechat, Workplace, Okta, SIR Access, My Marketing Matters, Xpressdocs, and Brokerage Engine
  • Onboarding—Serve as the in-office point of contact for agents throughout the onboarding process. Provide initial support for new agents, including provisioning all agent accounts, creating and updating team and agent pages on the website, including headshots, bios, and videos, and training new agents on using company platforms and tools. Work in concert with the Onboarding and Operations Manager to ensure agents' needs are met.
  • Marketing Platforms— Provide training and day-to-day support for agents’ questions, requests, and issues pertaining to any of our company platforms including BrightMLS, Rechat, My Marketing Matters, Brokerage Engine, Okta, Access, Workplace, and additional systems as added.
  • Property Marketing — Assist in production for email, print, and social media requests using templates provided by the Marketing department; assist in initiating custom marketing requests.
  • Listing Management— Provide daily and Weekly quality control checks for current listings. Troubleshoot as issues arise on ttrsir.com, sir.com, or throughout the Sotheby’s International Realty digital network. Submit sign installation and removal requests. Manage video upload to DASH.
  • Transaction Management —Provide agent training and assistance for Brokerage Engine. Conduct daily and weekly document audits, checking for submission and completeness, and notify agents when documents are missing or need revision.

Additional tasks or projects as assigned by leadership.

General Office Duties:

· Answer and direct phone calls professionally, coordinating lead assignments with the broker

· Greet visitors warmly, ensuring a positive first impression.

· Manage and maintain office supplies, ordering signs, stationery and materials as needed

· Keep office tidy, and well-stocked.

· Ensure that all office equipment is working properly.

· Handle mail and package distribution efficiently.

· Assist associates with computer and IT needs.

· Prepare slides for sales meetings

· Maintain Floor Duty schedule

· Maintain the highest professionalism and courteous manner with all agents, vendors, and the public

Essentials:

· Demonstrated ability to learn new systems and adapt to innovating technology

· Strong time management, organizational, analytical, and problem-solving skills

· Proficiency with Microsoft Office Suite including Outlook, Word, Excel, and PowerPoint

· InDesign and Photoshop proficiency desired

· Bachelor’s degree preferred
