About the Role 

The Operations and A/V Manager acts as the hardware and physical resource manager for the Program Services team responsible for delivery of 70 programs delivered annually across multiple channels. This role ensures that our physical resources are optimized for effective, efficient and scalable delivery of high quality programs in our on-campus learning environment. The Operations and A/V Manager is responsible for space and inventory management, technical support and training, and supports program delivery. 

Key duties to include: 

Operations & A/V Management (50%) 

  • Manage space utilization, planning, and reservations for all facilities (classrooms and event spaces) used by the department. Execute cost-effective Inventory management, including bulk special orders for supplies with six-figure budget.
  • Vendor relationships support, including external venue managers, caterers, parking, maintenance and repair technicians. Function as liaison to UC Berkeley and external facilities and venue managers.
  • Monitor and maintain inventory records of all supplies, IT equipment, and audiovisual technology equipment. Place regular and one-time orders to maintain supply.
  • Bring a mindset of continuous improvement that incorporates best practices and identifies root causes to challenges that emerge.
  • Ensures that all equipment is tested, operational, and ready for use as scheduled.
  • Supervise the maintenance and upkeep of AV equipment inventory, asset management, media production equipment, and facilities, as well as fixed AV installations at various sites.
  • Create training documentation and conduct trainings relevant to the use and troubleshooting of classroom AV and recording in all program locations.
  • Keep abreast of emerging hardware and how they can be used to improve the student instructional experience.
  • Plan and consult regarding the purchase and installation of new/upgraded equipment and supplies.Virtual Classroom hardware maintenance and vendor relationship support.
  • Assist VP and Director of Operations in expanding BEE’s capabilities to deliver programs at any location on any budget.

Staff Management (20%)

  • Oversee Program Services Associates (4-5 Direct Reports) to ensure support across all programs and delivery formats.
  • Recommend correct staffing needs for program delivery support across all delivery formats.
  • Oversee the recruiting, hiring and management of BEE Program Services Interns.

Program Delivery (30%) 

  • During busy seasons on campus, provide additional coverage needed to support the tasks of the Program Services Associates, including:
  • Managing program logistics and deliverables, including but not limited to: program handouts and supplies (both preparation and ordering), participant communication, program evaluations, media/audiovisual requests, and parking.
  • Provide on-site support at in person programs, which may include being present at all program sessions or providing support on early morning registration, occasional evening/weekend special events, and assisting Program Service Manager or Faculty in delivery of program exercises.
  • Interact directly with clients and program participants, professionally representing Exec Ed to key stakeholders, and providing the highest quality of customer service.
  • Assist in A/V support, including setup and checking, for non-campus related programming.
  • Back-up A/V support for technical questions when Haas TES is unable to assist.
  • Conduct regular testing of classroom audiovisual technology to ensure operational efficiency and troubleshoot and resolve simple hardware and computer issues.

Miscellaneous

  • Performs other duties as assigned.

Qualifications

  • 6 years relevant work experience
  • Extremely strong project management and organizational skills, with the highest level of attention to detail and deadlines. Excellent time management skills.
  • Proven work experience as a team leader or supervisor, with coaching and mentoring experience a plus
  • Strong technical knowledge of current audiovisual equipment, systems, and practices. Ability to instruct others in use of this equipment and provide troubleshooting effectively.
  • Advanced decision-making skills that leverage data analysis, emotional intelligence, and empathy
  • Approaches complex situations holistically and able to take full responsibility for your own work (and the work of your team)
  • Experience and comfort with project management software (Asana, Smartsheet, Monday, etc). Ability to learn new systems quickly.

Additional Information

  • This position requires the person to regularly be on campus in Berkeley (minimum 2 days per week).
  • Flexibility to work outside regular business hours, must be able to work evenings and weekends as needed

Salary & Benefits

Berkeley Executive Education offers a competitive compensation package, including medical/dental/vision/insurance, 401k, vacation leave, sick leave, and 17 paid holidays. Base salary range: $68,000/yr - $80,000/yr with potential for annual bonus.
