Department OverviewUC San Diego Housing, Dining and Hospitality (HDH) provides housing and dining services for approximately 19,000 undergraduate and graduate students and their families in more than 400 buildings, covering nearly 10 million square feet. Consisting of eight divisions, HDH has more than 1,000 career employees, 1,200 to 1,300 student employees, and an annual operating budget greater than $250 million.
HDH is a self-supporting department that operates without any federal, state or campus funding. The department receives nearly 90% of its funding from housing and dining services. It also secures revenue from conference and catering services. The goal is to break even.
HDH is in the midst of implementing an aggressive building plan that will added 10,000 new beds in the next 10 years and will almost double our square footage by 2032.

DescriptionThis position can be defined by their oversight and assistances of two main roles within the Hospitality and Conference Services department. Those two roles are our Hospitality Information location(s) and summer conference operations. Both roles require a unique blend of hospitality and academic experience. Combining both academic and hospitality together requires the incumbent to be flexible, interchangeable, and adaptable in a fast pace operational work environment.
While working in the Hospitality Information (HI) location, the incumbent will be required to supervise and lead a team of staff and student employees who provide operational support, opening and closing of facilities, check-in and check-out procedures, processing and distribution of mail and package services, key management, managing meeting room spaces and respond to general inquiries in the hospitality and conference services department. The incumbent will also be required to be able to work hands on in the development of our student employees. Other duties include but not limited to manages budget, staffing, resources, and administrative operations. Overall, well supervising the Hospitality Information location(s) the supervisor serves as the community liaison for anything hospitality.
Once the academic year has ended, the Hospitality and Conference Operations Supervisor is then shifted into the summer conference season. During the summer season this position will assist in conference operations and pre-planning procedures for the summer conference season during the academic year. The incumbent will also assist in summer conference operations which include but not limited to conference client interactions, conference logistics, meeting support, guest interactions, daily conference operations, staffing, budgeting, key management and more. Once the summer season has ended, the incumbent will also assist in the finalization of summer conference season. This will include assisting in the billing process, client survey reviews, key inventory for all colleges occupied during the summer conference season, and more.
This position requires someone to be able to balance the workload that both the hospitality and academic environment can establish. The incumbent will need to be able to manage their time efficiently and be able to work interchangeably between the Hospitality Information (HI) locations and summer conferences. The incumbent ensures for both summer conferences and hospitality information excellent customer service, efficient processes and procedures, and adequate staffing levels. Recommends and develops the strategic direction for the organization and participates in cross-functional initiatives. Responsible for analyzing financial, operations, and customer data to drive organizational changes.
Receives predetermined work assignments that are subject to a moderate level of control and review. Directs subordinates to complete assignments using established guidelines, procedures, and policies. Works on issues of limited scope. Requires full knowledge of own area of functional responsibility.
Qualifications
  • Demonstrated skills in employee supervision, personnel management, performance management, organizational administration and strategic planning.
  • Strong customer service experience. Demonstrated ability to create service level standards focused on response times and issue resolution.
  • Leadership skills to provide guidance, coaching and mentoring to professional and support staff. Experience in motivational and moral building techniques with ability to create and maintain team spirit and harmony.
  • Working knowledge of the organization's processes and procedures, rules and regulations.
  • Working knowledge of common organization-specific and other computer application programs.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
  • Skills to evaluate issues and identify resolutions.
  • Strong service orientation with the ability to effectively manage multiple priorities.
SPECIAL CONDITIONS

  • Valid California Driver's License required to drive a UC vehicle to different locations on and off Campus.
  • Depending on seasonality, must be willing to work outside normal hours, including weekends.

Pay Transparency ActAnnual Full Pay Range: $67,200 - $119,600 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $32.18 - $57.28
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
