The Executive Assistant (EA) - Engineering will provide high-level administrative, planning, and coordination support for the US VP of Engineering and engineering leadership. The EA will manage administrative tasks that include but are not limited too: meeting scheduling and support of action items and meeting minutes, manage expense, email, and daily/weekly schedule as well as travel coordination, internal communications within and for the leadership teams.
Nationality Requirements Candidates must be eligible to obtain the relevant security clearance required for the role, due to the nature of the programmes we deliver for our customers.
Job Description Responsibilities: - Control and manage the documentation, information, and communications functions associated with the leadership team.
- Produce key documents and presentations.
- Schedule, coordinate and attend meetings. Attend meetings to capture action items, draft, and distribute minutes to SLT and other attendees for feedback and finalization of the minutes.
- Make extensive domestic and international travel arrangements.
- Submit, process and track expense reports.
- Calendar management in multiple time zones and meeting coordination.
- Lead event planning initiatives to include Executive and leadership offsites.
- Maintain travel security documents.
- Drive timeline for various meetings and deliverables.
- Miscellaneous projects for Executives and leadership.
- Manage office supply orders and associated documentation.
Qualifications:
- 5 years of continuous work experience as an Executive level Administrative Assistant
- Expert level proficiency with Microsoft Word, Excel, PowerPoint and Access
- Willing to work extended hours, when necessary
- Ability to obtain a US Government security clearance. Security clearances are granted to U.S. citizens.
Desired Skills:
- 8 years of work experience as an Executive level Administrative Assistant
- Bachelor's degree in Business, Accounting or Finance
- Excellent written communication skills
- Basic knowledge of Government contracts srongly preferred, not required
- Previous experience supporting HR, Business Development/Marketing and/or Technology leaders
- Ability to multi-task and work under constant deadlines in a high-paced environment
