Job Summary:
The Purchasing Coordinator will ensure timely procurement of materials for interior prehung production, reporting to the Procurement Manager. Key duties include managing procurement tasks, reviewing job files, handling work orders in QuickBooks, and communicating with vendors. The role requires strong organizational skills, at least one year of procurement experience, and proficiency in Excel, Outlook, and Word. ERP systems knowledge is preferred. The Purchasing Coordinator will also support accounting and production teams to enhance operational efficiency.

Key Responsibilities:

• Source and procure Interior Prehung Materials
• Review, correct, and update Avaware Files for job releases
• Manually update all Work Orders in QuickBooks for production
• Create orders for damage replacement, changes, and additional items
• Integrate Work Orders into QuickBooks
• Verify and review acknowledgments
• Generate Sales Orders in cERP
• Follow up with vendors on open orders, back orders, and quality control issues
• Assist accounting with billing inquiries
• Support production with questions and concerns
• Perform data entry for demand planning
• Help coordinate production and shop work as needed
• Handle additional duties as assigned

Qualifications

Education/Certifications:

• Bachelor’s degree or equivalent experience

Experience: 

• At least 1 year of work experience in procurement
• Proficient in Excel, Outlook, and Word
• Basic knowledge or experience with ERP systems is preferred

Knowledge, Skills & Abilities:

• Understanding of procurement processes and best practices
• Familiarity with interior prehung materials and industry standards
• Basic knowledge of ERP systems
• Proficient in Microsoft Excel, Outlook, and Word
• Strong data entry and record-keeping skills
• Excellent communication and interpersonal skills
• Strong organizational and time management skills
• Ability to manage multiple tasks and prioritize effectively
• Ability to review and correct detailed files and documents accurately
• Ability to work collaboratively with vendors, accounting, and production teams
• Ability to troubleshoot and resolve issues related to procurement and work orders
• Adaptability to learn and use new software systems and processes as needed

• This position requires an onsite presence at our Pennsauken, NJ office
