United Christian Church of Austin is Hiring a Part-time Church Administrator Near Austin, TX

Join a progressive, open and affirming work environment with a strong commitment to social justice. 20 hrs/week schedule, with at least 10 each week working in the building at our location near the intersection of Parmer Lane and MoPac.

Position Summary:

The Church Administrator furthers the church’s mission by managing the day-to-day administrative and operations office management functions; supporting the Sr. Minister, staff, and lay leaders on assigned priorities; coordinating use/maintenance of facilities; serving as primary point of contact for non-pastoral inquiries from members and the community; and overseeing congregational communications, including website and social media. The position is a part-time 20 hours per week, with 10 of those hours required to be worked at the church (2 5-hour work days as determined in conjunction with the senior minister), while the remaining 10 hours per week can be done remotely.

Essential Job Functions:

  • Provides general administrative and office management support. Develops, documents, and maintains church office processes; maintains orderly paper and online files, including financial, rental, business, and maintenance records; orders and organizes office and building supplies; manages office and communications equipment, including contracts; coordinates with the Bookkeeper regarding invoices and checks; and maintains church calendar and church directory.
  • Supports weekly activities with input from congregants and staff and oversight by Sr. Minister , including producing newsletters, collecting attendance numbers from various sources and entering the data into designated systems, sending welcome letters and making name tags for new guests, managing creation/ deletion of SignUp Genius events, updating prayer requests in tracking software as needed, and printing worship participant orders and bulletins for services, as well as loading PDF of bulletin on the website.
  • Manages and cultivates church social media audiences, creating and adding content, including creating content in Canva, posting event information to website and other platforms, adding weekly sermon video and Ministry Minute to church website, managing Facebook events on the in-house page, and other tasks assigned by Sr. Minister.
  • Coordinates use and maintenance of facilities and grounds, including related contract negotiation. Manages building keys/codes; schedules the HVAC system (or delegates); seeks bids for building improvement/ maintenance in coordination with Property Chair or other designee; serves as primary point of contact for lessees, booking short and long-term rentals, and contracts; and publicizes rental availability options for meetings and events. Additionally, helps keep the building attractive and safe by periodically straightening public areas and alerting appropriate parties if a potential issue requires attention.
  • Supports compliance activities, including running background checks for staff and volunteers, scheduling required building safety and maintenance inspections, managing property insurance claims, and completing designated tasks required to maintain tax exempt status.
  • Greets visitors at the church building, which may include providing resources and information, escorting 3rd party maintenance workers, receiving packages, and allowing entry to the building by church volunteers; this is generally done when at least one other church representative is on site for safety purposes. Additionally, handles phone and mail flow and distributes messages and documents to appropriate recipients.
  • Creates brochures and other one-time communications as needed, and assists with special church event planning and execution.
  • Other duties as assigned

Requirements:

  • Detailed and process-oriented professional with 2 years office or administrative experience; church/religious organization administrative experience and/or supervisory experience a plus
  • Ability to work for a theologically progressive congregation that is anti-racist, pro-reconciling, and open and affirming, with the ability to exhibit a spirit of friendliness and positive cooperation and, while not a member, have an active concern for the life and wellbeing of the church
  • Strong computer skills required, including word processing, data entry, and digital content creation, with proficiency with Google apps and/or Microsoft Office Suite
  • Highly effective verbal and written communication skills
  • Ability to professionally and appropriately represent the church on social media, in online and print content, and in person
  • Ability to negotiate and manage contracts and serve as vendor liaison (e.g. cleaning, pest control, telephony, internet, copier)
  • Ability to take initiative and work well independently, effectively discerning when to seek input and direction from Sr. Minister or other appropriate party. Actively seeks opportunities for improvement and proposes solutions
  • Ability to effectively train and supervise others
  • Ability to effectively collaborate, communicate, problem solve, and maintain a resilient and positive demeanor
  • Ability to demonstrate a high level of hospitality and warmth, while handling confidential information with discretion
  • Physical ability to work at a computer for long periods; stand, walk, stoop, and reach; and lift up to 25 lbs, and operate standard office equipment (e.g. copier)
  • Ability to effectively collaborate, communicate, problem-solve, and maintain a resilient and positive demeanor

Education: Associates degree or equivalent experience
