The Volunteer Coordinator is responsible for scheduling volunteers and volunteer activities associated with United Food Bank. The Admin Volunteer Coordinator is the person accountable for administrative duties related to volunteers during program activities at Javelina and Nina warehouse locations as well as other distribution events requiring volunteers.
Essential Duties and Responsibilities:
  • Respond and schedule group volunteer inquiries with a sign-up link.
  • Follow up after group volunteer events with a volunteer certificate and thank you for an email.
  • Create monthly volunteer sign-up on Salesforce.
  • Data entry of volunteer waivers and tracking volunteer hours.
  • Coordinate volunteer activities for covering volunteer shifts as needed throughout the regular work week; as well as 1-2 Wednesday evenings and 1-2 Saturday mornings per month.
  • Motivate volunteers to assist with sorting food and building Emergency Food Bags as United Food Bank's primary volunteer activities.
  • Maintain ongoing communication and training with volunteers in areas to be able to effectively provide safe, usable products for distribution by United Food Bank.
  • Document, implement, and maintain general volunteer service guidelines and protocols.
  • Keep informed regarding industry standards and best practices for volunteer resource management.
  • Work closely with Volunteer Manager to assess volunteer opportunities and the organization's needs.
  • Maintain volunteer management software, including e-communications and reporting.
  • Actively seek out and staff volunteer and community outreach events (volunteer fairs, educational activities, community events, etc.) to enhance United Food Bank's presence.

Requirements

  • Passion for alleviating hunger
  • Associate's degree (A.A.) or equivalent from a two-year college or technical school; one year of related experience coordinating volunteers and/or experience in volunteer recruitment and training; or equivalent combination of education and experience.
  • Demonstrated experience, knowledge, and proficiency in Microsoft Office products, specifically Access, Word, Excel, and Outlook
  • Volunteer management software is a plus
  • Excellent people skills are required
  • Ability to work independently with minimal supervision
  • Self-motivated, dedicated to accomplishing tasks, able to take the initiative and solve problems
  • Strong organizational and relationship building skills
  • Must be people-oriented and work well as part of a team
  • Excellent verbal and written communication skills
  • Commitment to the organization's mission and goals
  • Must be available to work most Saturdays, as well as some other weekday evenings, as the job demands
  • Valid driver's license required and insurability required

  • Ability to sit at a computer for 8 hours a day doing repetitive motions on a keyboard
  • Ability to travel (locally) up to 3% a year for mobile or off-site volunteer events
In instances of a federal, state, or locally declared emergency, United Food Bank is typically considered an essential service and emergency responder; all of its employees may be called in to perform regular or emergent duties.
