Responsibilities: Administrative/Clerical Support
Coordinate provider and clinical staff scheduling operations to include:- Develop work schedules and review and adjust staffing needs due to call-ins and patient volumes- Responsible for training of staff in excellent patient relations and office policies and procedures using FOCUS values and as directed by the Clinic Administrator- Accountable for providers/testing schedules- Maintain provider changes and hospital call schedules- Rebuild schedules as requested by providers and staff- Schedule providers for outreach clinics and notify appropriate Administrative personnel if clinic is cancelled- Maintain effective communication with front office experience specialist when changes are made to provider schedule- Open/close provider schedules as required- Work closely with EPIC Rebuild Team to create specialty schedules/templates- Responsible for notifying answering service of all changes made to call schedule- Track testing reading schedule for providers- Schedule meetings on Microsoft Outlook calendar for providers- Coordinate and process PTO request forms for providers to close out schedule once PTO is approved- Block provider schedules as required. Coordinate residence program including student rotations. Assist the Clinic Administrator with completion of required employment forms in an accurate and timely manner and coordinating orientation and training programs for new staff members. Assist the Clinic Administrator with coordination of training needs for clinic staff. Assist the Clinic Administrator with day-to-day operations of the clinic such as ordering of supplies, preparing invoices for payment and ensuring patient payments are posted and deposited appropriately. Perform business office duties as directed by Clinic Administrator.- Complete monthly stat reports for clinic Director- Complete expense reports for providers- Schedule and attend clinic/department meetings, stay current on checking, sending and responding to emails and regularly check information on the organizations intranet site for updates on organizational activities and programs- Schedule and set up conference calls as required- Cover front desk as required in the event of staff shortages or heavy patient volumes. Establish a mechanism to track physicians, providers and staff completion of mandatory licenses, permits, and training requirements. - Track provider CMEs- Assist with provider credentialing as required. Establish effective mechanisms of communication with clinic staff, providers, patients and leadership to foster an environment of openness, trust, teamwork and staff development. Completes all annual education and competency requirements within the calendar year. Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.
Education
Associates degree or equivalent combination of education and experience required.
License(s)/Certification(s)
Valid drivers license when driving any vehicle for work-related reasons.

Strong verbal and written communication skills. Ability to take initiative and exercise independent judgment, decision-making and problem solving expertise. Knowledge of patient relation principles.
