Position Overview:

We are seeking an experienced and strategic Director of Operations to lead and oversee all aspects of our operations team and department. This role is pivotal in ensuring the efficiency and effectiveness of our service delivery, fostering collaboration across departments, and driving continuous improvement.

Key Responsibilities:

Leadership and Management:

Lead, mentor, and develop the operations team, including Account Managers, Operational Managers and Supervisors.

Foster a positive and collaborative work environment that encourages professional growth and high performance.

Establish clear performance goals and expectations and conduct regular performance evaluations.

Performs other duties, responsibilities and special projects as assigned.

Operational Oversight:

Oversee daily operations of our services.

Ensure all services are delivered in accordance with company standards, client expectations, and regulatory requirements.

Implements and maintains effective operational policies and procedures.

Strategic Planning:

Develop and execute operational strategies aligned with company’s goals and objectives.

Identify opportunities for growth, expansion of services and bandwidth of team.

Collaborate with the executive team to drive strategic initiatives and business development.

Financial Management:

Manage budgets, forecasts, and financial performance of the operations department.

Monitor and control operational expenses, ensuring cost-effectiveness and efficiency.

Analyze financial reports and key performance indicators (KPI’s) to make informed decisions.

Client Relations:

Build and maintain strong relationships, addressing their needs and concerns promptly and effectively.

Ensure high levels of client satisfaction and retention.

Participate in client meetings, presentations and trade events as needed.

Quality and Safety:

Ensure compliance with health, safety, and environmental regulations.

Engage with HR Management to Promote a culture of safety and quality with the operations team.

Implement quality assurance programs and continuous improvement initiatives.

Resource Management:

Optimize the use of resources, including personnel, equipment, and materials.

Oversee the maintenance and upkeep of operational equipment and facilities.

Ensure adequate staffing levels to meet operational demands.

Reporting and Analysis:

Prepare, present, and distribute consistent reporting metrics on operational performance, including productivity, quality, and financial metrics.

Utilize data and analytics to identify trends, issues, and opportunities for improvement.

Develop action plans to address operational challenges and enhance performance.

Responsible to evaluate employees’ goals and engage annual reviews for all direct reports.

Internal Department Collaboration:

Work closely with sales department to align operational capabilities with business development efforts.

Collaborate with the billing department to ensure accurate and timely invoicing and resolve any operational billing issues.

Coordinate with accounts payable (AP) to manage and approve operational expenses.

Work closely with Human Resources to lead the team with integrity and to establish and maintain a trusting, inclusive, and productive environment.

Liaise with compliance department to ensure all operations adhere to regulatory requirements and company policies.

Ensure all workflows are effective and efficient between all departments.

Qualifications:

Bachelor’s degree in business administration, Operations Management, or a related field; MBA

preferred.

Minimum of 10 years’ experience in operations management, preferably in the service industry

Proven leadership and team management skills

Strong financial acumen and experience with budget management

Excellent communication and interpersonal skills

Ability to think strategically and execute tactically.

Knowledge of industry regulations and best practices.

Proficiency in using operational software and tools.

Commitment to excellence and continuous improvement.

Communicate professionally and effectively. Provides clear direction to hold team members accountable through close monitoring and oversight.

Soft Skills, Knowledge, and Abilities:

Ability to diagnose and prioritize opportunities and tactfully defuse difficult situations.

Ability to recognize and interpret nonverbal communication through active listening.

Possess emotional intelligence that will inspire, engage, and motivate for high arching goals resulting in positive results and team participation.

Has working knowledge of Microsoft Office products with emphasis on the use of excel with utilization of formulas and pivot tables.

Proficient in Power Point presentations.

Ability to maintain, enhance and grow customer relationships.

Other related certifications relevant to position IE: CPR, first aid, coaching and mentoring certifications, leadership training, project management, people management, C-27, D63, or other contractor licensing certification, Water Conservation, Etc.

Work Environment and Physical Demands:

Demanding environment with some moderate office level of noise and frequent

interruptions.

Required to spend time in both office and site-specific environment.

This position will require travel to client sites and other company locations.

Ability to work flexible hours, including evenings and weekends as needed with some overnight stay while traveling out of town.

Lifting: Normal, up to 25 pounds, Occasionally, up to 50 pounds
