This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS):
One year of experience where most work time is spent performing mathematical operations, and/or clerical activities related to mathematical operations.
COMPETITIVE MINIMUM QUALIFICATIONS (NON-NY HELPS):
Candidates must have a reachable score on the University at Albany Office Assistant 2 Calculations - ALBANY Exam List OR
Be a current NYS employee and have a current permanent appointment with 1 year of service as an Office Assistant 2 Calculations, or in a title eligible to transfer to Office Assistant 2 Calculations OR
Be a former NYS employee eligible for reinstatement to the title of Office Assistant 2 Calculations
May be filled from a mandatory reemployment list if one is in effect at the time of appointment.
Any resumes received that do not meet the above requirements as described will be deemed unqualified.
Procure goods and services with transaction values under $5,000 for various projects and shops on campus.
Reconcile credit card statement monthly.
Communicate with campus finance offices (Budget, Purchasing, Accounting, etc.) as well as units internal to Facilities (OCP, AECM, Shops, etc.) to create, revise and close out facilities accounts and work orders and ensure financial transactions are accurately recorded across Facilities Management.
Verify account balances and review departmental expenditures to ensure accuracy and appropriateness.
Provide phone and email order support to staff across the Facilities Department.
Support efforts and initiatives to maintain and enhance the AiM Work Order System, including assisting with work order and project closeouts and reconciliations.
Provide assistance in training on the ordering process rules and regulations to new shop staff and other new staff.
Place online orders with university’s designated online ordering vendors.
Provide phone and front desk coverage when needed.
