Summary of Job Duties:The Administrative Specialist III will work under general supervision and provide administrative support for the mathematics department chair and faculty. This position is governed by university policy. The position reports to Dean of Arts & Sciences/Department Chair of Mathematics.Qualifications:

Required Education and/or Work Experience: Minimum qualifications include a formal education equivalent of a high school diploma; plus, one year experience in a clerical field or related area. Other job-related education and/or experience may be substituted for part of these requirements.

Preferred Education and/or Work Experience: Associate degree or equivalent; plus, one year of specialized training in the secretarial field; plus, two years of clerical experience.

Knowledge, Skills, and Abilities: To perform the job successfully, the following competencies are required for the essential functions of this position:

  • Ability to handle confidential information with absolute discretion
  • Strong computer skills including data entry, word processing and spreadsheet programs
  • Good working knowledge of grammar, punctuation, and spelling Knowledge of general office procedures
  • Knowledge of basic record keeping procedures
  • Ability to operate standard office equipment.

Essential Job Duties & Responsibilities: The Administrative Specialist III will serve as secretary/administrative support for the department chair and faculty, answer phones, and assist visitors and students. Other primary duties include:

  • Maintain records (including computer and paper files)
  • Prepare travel arrangements, travel requests and travel reimbursements
  • Prepare faculty load reports
  • Prepare textbook, supply, and printed material orders
  • Enter schedule information into university database system
  • Enter information into Workday for various documentation needs
  • Conduct annual inventory of equipment for the mathematics department
  • Maintain appointment calendar for department chair
  • Monitor concurrent faculty status Maintain interdepartmental communications
  • Maintain office equipment Prepare monthly department reports for department chair pertaining to budget, enrollment and advising
  • Maintain supply inventory
  • Arrange faculty interviews and luncheons for potential new faculty and prepare agendas
  • Assist department chair with connecting students with advisors
  • Track faculty absences for the department chair and assist in planning coverages of classes
  • Perform duplication and Xeroxing per request
  • Maintain knowledge of current college and university policies and procedures
  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork and by providing leadership to subordinates
  • Requires consistent on-time attendance
  • Other duties as assigned

Additional Information:

Working Relationships: The Administrative Specialist III position has regular contact with department chair, faculty, and students, as well as contact with other university personnel and administration and will work in coordination with the dean's office.

Special Job Dimensions: Work performed primarily in an office setting. While performing the duties of this job, the employee regularly exhibits digital dexterity when entering data into computer. The employee frequently sits for extended periods of time, and occasionally stands and walks. Vision demands include close, relatively detailed vision when focusing on a computer screen. Employee regularly talks and hears. Employee occasionally lifts items up to 50 pounds. Routine work schedule Monday through Friday, 8:00am to 5:00pm with occasional overtime and travel required

Salary Information:

Starting salary is $26,000, salary effective 7/1/2024 will be $29,629/year
