The incumbent provides high quality customer service to patients calling to obtain medical services at UC Irvine Medical Center. Serves as a preceptor for new staff.

Essential Job Functions:
The identification of essential functions below is not intended to be an exhaustive list of all duties that may be assigned to this position, nor does it restrict the duties which may be assigned to this position if such duties reasonably relate to the position.

  • Obtains demographic information from patients, including accurately verifying medical coverage, determining patient eligibility, and or the need for referrals or authorizations, and enters into appropriate computer system. Effectively counsels patients regarding insurance and eligibility, including payment types and or amounts required for service. Takes necessary steps to protect patient confidentiality. 35%
  • Communicates effectively and appropriately with patients, clinic and other medical staff, co-workers and members of leadership in a manner that provides exceptional customer service and supports the ARISE values. 20%
  • Appropriately schedules, reschedules, cancels or confirms patient appointments in a timely manner to maximize scheduling for patient volume as needed or requested. Provides accurate information to patients regarding referrals, insurance authorizations and the time and location of their appointment, along with what, if anything, they need to bring to the appointment. 35%
  • Accurately and clearly documents patient requests for assistance from a physician and or clinic staff, selecting and sending information to the correct department. Takes messages and routes to appropriate department. 10%

Required Qualifications:

  • Must possess the skill, knowledge and ability essential to the successful performance of assigned duties
  • Must demonstrate customer service skills appropriate to the job
  • Minimum 6 months of experience working in a call center setting plus 12 months experience working in a healthcare setting or 12months experience working in a call center in a healthcare setting
  • Minimum 12 months experience working in a call center setting plus 12 months experience working in a medical office setting; OR 12 months experience working in a call center in a healthcare setting
  • Excellent written and verbal communication skills in English
  • Demonstrated knowledge of medical terminology
  • Demonstrated knowledge of insurance programs and/or government programs
  • Demonstrated experience using office equipment such as a printer, copier, fax, scanner
  • Demonstrated experience using a computer, including data entry and retrieval
  • Ability to maintain a work pace appropriate to the workload
  • Ability to establish and maintain effective working relationships across the Health System

Preferred Qualifications:

  • Minimum 6 months experience working in a customer service position plus 6 months in a call center setting; OR 12 months experience working in a call center
  • Knowledge of University and medical center organizations, policies, procedures and forms
  • Demonstrated experience working with a patient registration software system
  • Bilingual skills in English and Spanish and/or Vietnamese
