Job Summary

Applies extensive knowledge of professional health education programs and policies to manage program administration and operations, which may include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation Participates in strategizing, planning, and implementation of substantial program improvements of large scope and high degrees of complexity.The Trainee Affairs Manager is responsible for the processes and systems necessary to ensure that 330 UCSF Fresno residents, fellows, and non-MD trainees as well as all visiting learners can participate in activities required as part of their training, which includes providing patient care, participating in research, participating in all other required educational activities. This position will carry this out by:1. Applying extensive knowledge of GME, California State licensure laws and regulations, federal immigration and visa laws, Accreditation Council for Graduate Medical Education (ACGME), Joint Commission and other regulatory requirements, UCSF Fresno GME policies, and UCOP policies to develop, implement, and maintain appropriate and efficient processes and procedures.2. Serving as a subject matter expert in resident, fellow, and non-MD trainee credentialing and appointments; California medical licensing; UCSF Fresno affiliated clinical systems' access; US visa and immigration laws impacting trainees; UCSF Fresno GME policies and procedures; and UCSF Occupational Health requirements for patient care providers, serving as a consultant to the Assistant Dean for GME, the Director of GME, faculty program directors, program administrators, Vice Dean, and other stakeholders.3. Managing the appointments, files, access to and functionality in clinical systems, databases, and records of all UCSF Fresno postgraduate trainees, both employed by UCSF and visitors.4. Designing and implementing policies and procedures relevant to trainee appointments, which allow trainees to provide patient care and participate in graduate medical education training programs.5. Serving as the principal liaison between the GME Office and all relevant stakeholders, both internal and external to UCSF Fresno and the UCSF School of Medicine, to ensure all appointment, licensing, and credentialing processes and procedures are efficient and working as well as problem-solve issues and provide consultation as necessary.6. Manages operational components specific to the appointment of learners, including the GME appointment process; collaborating with the UCSF HR Shared Services Center for Trainees; and collaborating with affiliated health systems involved in providing clinical learning opportunities for the Fresno trainees.The Trainee Affairs Manager fills a critical role by managing systems, processes, procedures, and policies that impact more than 30 GME programs in UCSF Fresno, across the 9 clinical departments, which include 330 UCSF residents, fellows, and non-MD trainees; and visiting residents, and visiting fellows annually.The Trainee Affairs Manager applies extensive knowledge, outstanding communication skills, and proven problem-solving and analytical skills to liaise and collaborate with all relevant stakeholders, including GME staff and faculty, UCSF Fresno and UCSF School of Medicine leadership, UCSF Occupational Health, UCSF Human Resources, UCSF IT, and all clinical affiliates.The Trainee Affairs Manager has the proven ability to lead trainings and workshops; develop resource materials; apply knowledge to provide consultative services; analyze problems and provide appropriate solutions; and effectively manage data and complex files that meet regulatory needs and requirements.The Trainee Affairs Manager engages as a key member of the Graduate Medical Education Office team leading and supporting the day-to-day operations for the UCSF Fresno GME educational mission.The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $92,900 - $153,100 (Annual Rate).

Department Description

UCSF Fresno is a branch campus of UCSF that is located in the Central San Joaquin Valley and is administered by the Office of the Dean in Fresno, California. The Graduate Medical Education (GME) Office is directly responsible for the accreditation and oversight of all the residency and fellowship training on the UCSF Fresno campus under the UCSF School of Medicine. The UCSF Fresno GME Office provides service to the specialty residencies, subspecialty fellowships which is comprised of physicians in training. The GME Office also works with major training site hospitals, in promoting the mission of the health of Central California by providing innovative and excellent patient care, training the next generation of physicians, and advancing patient-centered research.
The Graduate Medical Education Office is responsible for the full continuum of graduate medical education at the UCSF Fresno branch campus, encompassing residents, fellows, dental education, and ongoing educational opportunities. Activities in this department relate to program quality, process and all accreditation issues which enable the continued improvement of the UCSF Fresno Programs.

Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training
  • 5 years directly related experience
  • Advanced knowledge relevant policies and regulatory requirements. Advanced knowledge of a health professions education program curriculum and requirements. Maintains a broad range of expertise in health professions education theory and industry best practices
  • Advanced knowledge of administrative analysis and operations research. Demonstrated ability to apply knowledge and skills to develop and implement complex processes and systems improving program quality and efficiency and reducing cost
  • Excellent communicator; includes verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. Ability to handle sensitive personal information with appropriate discretion and judgment
  • Advanced interpersonal skills. Skills to work collaboratively coordinate and integrate with others throughout the organization. Successful experience working with people with a wide range of backgrounds and skills
  • Advanced organizational and project management skills. Ability to lead a team, prioritize personal and team tasks and see projects through from inception to completion on schedule. Advanced personal organization skills and ability to apply to administration of the entire program including organizing critical files for compliance
  • In-depth knowledge of educational software and technologies to promote a wide-range of teaching and learning goals
  • In-depth knowledge of data management, documentation methods used in investigating and presenting findings about the program

Preferred Qualifications

  • Master's degree in related area
  • Proven ability to lead and engage in continuous systems and process improvement
  • Certified Training Administrator of Graduate Medical Education (C-TAGME)
