Brief Summary of Job Duties

Under the direction of the Assistant Vice Chancellor for Research, and in close partnership with campus experts and constituents, the Training & Communications Officer utilizes subject matter expertise and in-depth understanding of best practices in the management of sponsored projects to support the design and conduct of research administration training. The Officer will evaluate training needs and propose the best approach for training delivery, and partner extensively with campus subject matter experts and Office of Research (OR) leads to develop and deliver necessary training and related communications.

The Training & Communications Officer will develop or revise research administration training and communications, develop training materials and webinars, coordinate training sessions and lead training exercises. The role will analyze frequently changing federal, state and university policies and assist in developing guidance for staff, researchers and research administrators. The Training & Communications Officer is responsible for managing content development, delivering trainings, and managing related communications on behalf of OR, including maintenance of website content. This role may be eligible for delegated signature authority.

Required Qualifications

  • Bachelor's Degree in a related area and / or equivalent experience / training.
  • 5 or more years of research administration experience at a university or institute with a high-volume of contracts and grants, including proposal development.
  • 1-3 years of demonstrated experience presenting or instructing, and / or experience mentoring and training others in relevant areas of research administration.

Preferred Qualifications

  • 2 or more years of experience developing and / or delivering training content and materials relating to administration and financial management of extramural funds

Job Functions and Percentages of Time:

  • 75% Training Design, Content Development & Delivery: The Training & Communications Officer will design and deliver training content, materials and resources for a comprehensive pre-award and non-financial post award training program. The program will provide training in all aspects of pre-award administration including but not limited to preparation and review of the proposal, review and acceptance of an award, administrative requirements after award, interpretation of federal regulations, and sponsor relations. The training provided will give proposal support staff and campus administrators a comprehensive understanding and detailed knowledge of the complex and constantly changing administrative environment. Topic areas covered will include:
  • 25% Operations, Communications & Special Projects: The Officer will monitor and review new funder policies and changing regulations related to sponsored projects administration and will initiate discussion with relevant OR teams to update policies, procedures and central systems and communicate those changes to relevant campus audiences. This role is expected to interface regularly over the first few years with the new campus training team (OFT) as well as the FMM PGM workstream and process design leads, in addition to OR teams, campus constituents and systemwide training colleagues, and to make use of resources and tools provided by systemwide offices and national organizations. The role will routinely collaborate with Sponsored Projects, Research Integrity, and other managers to understand training and communication needs, and then develop and update content. The Training & Communications Officer will work independently and under deadlines to manage multiple concurrent tasks and responsibilities, and to deal with changing priorities, while maintaining personal effectiveness.
