DEPARTMENT OVERVIEWThe Psychology Department currently has 30 academic FTE, an administrative staff of ten, and makes several temporary academic staffing appointments each year. The Psychology Department has over 2200 undergraduate students declared and proposed in the Cognitive Science and Psychology majors and 69 Psychology PhD graduate students. The Psychology Department Faculty and Staff are all currently housed in Social Sciences 2. The Psychology department staff promote a strong spirit of teamwork and embrace UCSC's Principles of Community in meeting the needs of a diverse range of constituents.

JOB SUMMARYThe Psychology Assistant Department Manager uses professional skills to apply organization policies and procedures to oversee a variety of ongoing administrative operational activities. The incumbent will administer and coordinate department programs as defined by the Department Manager and Chair, to include the department's colloquium series, faculty recruitment job talks, and other departmental events. This will require developing and maintaining program budgets, space planning and calendaring, purchasing, travel processing, communications and marketing via website updates, newsletters and email invitations. The incumbent will review financial reports and support the manager by budgeting, planning and forecasting and serve as a resource for managing financial discrepancies. The Assistant Department Manager will work with the Department Manager on all ladder faculty promotions and reviews. The incumbent will coordinate the scheduling process for all Psychology Department courses (approximately 120 courses per year) as well as the process for collecting Student Evaluations of Teaching each quarter.
APPOINTMENT INFORMATIONBudgeted Salary: $30.04 - $34.32 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES30% - Curriculum Coordination- Coordinates the scheduling of all Psychology Classes (approximately 40 per quarter). Works with the Social Sciences Division and Registrar staff on securing appropriate classrooms. Coordinates the Student Experience of Teaching (SETs) surveys each quarter for all courses.
30% - Academic Human Resources- Works with Department Manager on ladder faculty reviews and promotions. Acts as a resource to faculty working on personnel files. Attends all faculty meetings. Creates faculty recruitment visit schedules.
25% - Event Management- The Assistant Manager is responsible for all Psychology Department academic and recruitment events, liaising with campus and external partners. Oversees travel arrangements, reimbursements, honoraria, etc.
15% - Financial Management- Oversees the Psychology Department's internal operating budget. Provides monthly reports to the Department Manager. Maintains knowledge of campus fiscal policies and practices and acts as department resource person and liaison with the Division Business Office. Uses campus financial system to track purchase requests and reconcile expenditures. Processes reimbursement forms. Oversees research into and resolution of discrepancies. Completes fiscal closing entries and balances in conjunction with Department Manager and Social Sciences Division. Complies with procedures and rules regarding both programs.
REQUIRED QUALIFICATIONS- High school diploma or equivalent experience.
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff, faculty and students verbally and in writing.
- Solid organizational skills and ability to multi-task with demanding timeframes.
- Working knowledge of common organization-specific and other computer application programs.
- Ability to use discretion and maintain confidentiality.
PREFERRED QUALIFICATIONS- Experience working in an academic setting.
SPECIAL CONDITIONS OF EMPLOYMENT- Selected candidate will be required to pass a pre-employment criminal history background check.
- Ability to work long periods of time at a computer with or without accommodation.
- The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs, and be able to fulfill requirements of the UCSC telecommuting agreement.
- Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
- Ability to maintain appearance and conduct suitable for working in a professional setting.
