Position Title : Comm/Admin Coordinator-PRKAD - 997732
Position Overview & Job Duties:
Responsibilities for performing a variety of administrative duties for a large division/college which may include multiple areas. Responsible for day-to-day operations of the department; coordinates of projects assigned; develops office procedures. Initiate correspondence, memoranda, promotional material, forms, newsletters manual and reports. Oversee the work of office, administrative, or customer service employees to ensure adherence to quality standards, deadlines, and proper procedures, correcting errors or problems. Develops and maintains confidential or complex files. Interprets and advises internal and external customers on programs, policies or rules. Assists leadership in program/event planning; administers budgets; and coordinates academic and/or staff personnel matters. Resolve problems that have a significant impact on the overall goals of the department. May have contact with sensitive, complex and confidential information. May be responsible for managing calendars, appointments, chair events and meetings. Hires and terminates clerical and administrative personnel.
  • Assist in operational day-to-day management of the TPS office concerning the areas of customer interaction, database management, communications, and social media.
  • Develop & execute plans for social media and communications of department. Serve as liaison between TPS and Campus Enterprises marketing and social media departments in regards to creating materials and marketing TPS. Coordinates TPS social media content on Facebook, Twitter, TPS website, and other social media platforms under the direction of the Campus Enterprises Marketing team.
  • Holds promotional events such as information booths at fairs. Attends UCO events and serves at the ambassador for TPS to the campus at large. Schedules, prepares for, and conducts all TPS requests for presentations for things such as New Employee Orientation, Freshman FORGE, RA Training, International Student Orientation, etc. Creates and maintains a TPS communications calendar.
  • Operate parking management software T2 Flex, Digital Iris, Passport Parking, Ellucian Banner, and Oklahoma DMV to assist customers and manage behind the scenes TPS processes. Process cash or check transactions for parking codes, citations, or other reasons and counts down cash drawers. Creates & maintains all pay station codes.
  • Process tow warnings and unidentified vehicles through Oklahoma DMV and sends letters to owners as needed. In collaboration with Director of Transportation & Parking, rules on all first-level appeals and manages second-level apparels board, overseeing applications and selection process. In absence of Director of TPS, oversee day-to-day management of TPS business and customer service units and office operations. Other duties as assigned.
  • Oversee all front desk communications for Housing and TPS, managing communication software TextUs, Chat, OnBase and OneNote. Supervise all operations of the front desk including the hiring, training and supervision of all Housing and TPS office student workers. Serve as a resource for problems that cannot be solved by desk staff. Have working knowledge of StarRez. Maintain a full employee schedule for during office hours.
  • Manage all direct communications to students, including email, chat and text. Process Famis maintenance and front desk work orders. Work closely with Housing department to communicate issues needing to be resolved beyond the scope of the front desk.
Experience Required:
Bachelor's degree in job related field plus 3 years of work experience or equivalent combination of education and experience.
Experience Preferred:
Experience in a university setting with 10,000 students/faculty/staff. Database management experience, specifically T2 Systems and Ellucian Banner. Experience in Microsoft Office Suite.
Knowledge/Skills/Abilities:
Excellent public relations, communications (both oral and written) and organizational skills. Ability to communicate effectively on the telephone and person to person. Must demonstrate a warm, caring, and professional attitude. Ability to perform duties effectively, efficiently, accurately, and prioritize multiple assignments. Proven ability to maintain confidentiality. Ability to effectively work during extremely busy and stressful periods. Good records management skills. Computer knowledge is essential.
