About The DepartmentThe University of Chicago (UC) Institute for Translational Medicine (ITM) was created in 2007 to assemble, integrate, and create the intellectual, administrative, and physical resources required to catalyze research and research training in Clinical and Translational Science. Its ultimate goals are to train scientists and health care providers at UC and in our community to determine the molecular, genetic, pathophysiologic, and social determinants of disease and disease predisposition in individuals; to test interventions directed toward those mechanisms; and to achieve these goals in a way that is rigorous, efficient, ethical, respectful of, and responsive to our community’s needs and values.
Over its nine years, the ITM has capitalized on the outstanding intellectual and physical resources throughout the University and at ITM affiliate Institutions, Argonne National Laboratory, NorthShore University HealthSystem, Illinois Institute of Technology, and Access Community Health Network, and on substantial institutional and CTSA financial investments, to build the infrastructure for a transformative, energized, and self-improving home for clinical and translational research, ensuring the continued progress of clinical and translational science at the University of Chicago, its affiliates, on the South Side of Chicago, and beyond.
Job SummaryThe Assistant Administrative Director provides direct support to the entire ITM program by backfilling ITM program staff during time off; deepening the ITM’s specific services to faculty investigators and study teams in response to ongoing and emerging needs; and through high-level support to the Administrative Director in carrying out all responsibilities of the implementation and oversight of the ITM and its programs. This requires a self-starting, high-functioning individual with extensive experience in project management, clinical research, and center operations.
This at-will position is wholly or partially funded by contractual grant funding which is renewed under provisions set by the grantor of the contract. Employment will be contingent upon the continued receipt of these grant funds and satisfactory job performance.
Responsibilities
  • Ensures the ongoing function of the ITM’s programs by backfilling for all staff during time off. Examples of specific responsibilities could include, but are not limited to, program management and implementation; coordination of review processes; event planning and implementation; and financial management, reporting, and transactional support.
  • Provides a wide range of direct, project-based support to ITM investigators and study teams. Examples include, but are not limited to, preparation of clinical research regulatory submissions, e.g., IRB applications; clinical research study startup, operations, and management; direct recruitment of research study participants; and assistance with multi-center trial deployment.
  • Provides support to the ITM Administrative Director on delegated responsibilities and projects. Examples of specific responsibilities could include, but are not limited to, ongoing enhancement of staff morale and cohesion; grants management and reporting; grant preparation and submission; and implementation of evaluation plans.
  • Uses in-depth knowledge and experience to administer the delivery of services to program participants and/or beneficiaries such as communicating with programs sponsors and academic advising for undergraduate students.
  • Develops and communicates program priorities and performance standards and assesses operations using these criteria. Plans and conducts quality assurance reviews and recommends changes as appropriate.
  • Has a deep understanding when interacting with faculty, researchers and staff for committee work or information.
  • Performs other related work as needed.
Education:Minimum QualificationsMinimum requirements include a college or university degree in related field.
Work Experience:Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.
Certifications:Preferred QualificationsEducation:
  • Master's degree.
Experience:
  • Directing the work of others.
Technical Skills Or Knowledge:
  • Have a deep knowledge of clinical research regulations and operations.
  • Possess outstanding project management skills.
Preferred Competencies
  • Demonstrate outstanding communication skills and a high level of attention to detail.
Working Conditions
  • Office environment but must also be comfortable working within an operational clinical research environment, such as a clinical research center.
  • Occasional evening/weekend hours may be needed based on the programs, activities, and needs of the institute.
  • Occasional travel to ITM affiliate institutions and national meetings.
