Job Summary

The University of Colorado Boulder encourages applications for an Administrative Coordinator! Reporting to the Office of Admissions HR and Operations Manager, the Administrative Coordinator is responsible for all Office of Admissions student onboarding, student HR record maintenance, student offboarding and student payroll processing. This position is the lead coordinator and approver for all Admissions’ staff travel authorizations and travel expense reports, maintains all travel related process documents and submits travel authorizations and expense reports on behalf of the Assistant Vice Chancellor of Admissions. This position oversees the annual conference registration request process and registers and pays for staff to attend professional development conferences. In addition, this position manages college fairs via Slate and processes payment for attendance at these events. The Administrative Coordinator is the payroll and HR backup to the HR and Operations Manager.

What Your Key Responsibilities Will Be

  • Student HR and Payroll – Manages all student onboarding, HR record maintenance, offboarding and student bi-weekly payroll:
  • Enters all new and returning student employees into PeopleSoft Human Capital Management (HCM).
  • Maintains student employee records; including but not limited to supervisor changes, pay rate updates, and work-study award tracking.
  • Records all student employment terminations in PeopleSoft HCM.
  • Processes bi-weekly student employee payroll.
  • Responds to questions and resolves issues from student supervisors and student employees involving HR or payroll-related situations.
  • Drafts new policies and procedures surrounding student employment and payroll specific to the Office of Admissions.
  • Coordinates the annual Admissions student employee awards nomination and selection process, including issuance of certificates and additional pay forms.
  • Primary Travel Liaison:
  • Trains Admissions staff on how to plan, book, and cancel accommodations in the Concur Travel System.
  • Trains Admissions staff on how to navigate travel component of Slate.
  • Reviews, updates, and approves pre-travel authorizations including adding/removing counselors from the Travel Authorization form in Slate.
  • Trains, reviews, updates, and approves all Admissions employees’ travel expense reports.
  • Arranges travel accommodations and reconciles travel expense reports for non-employees visiting the Office of Admissions.
  • Creates and reconciles the Assistant Vice Chancellor of Admissions’ travel authorizations and travel expense reports.
  • Submits travel card requests, updates, and card closures to the Procurement Service Center.
  • Maintains all travel training materials and creates new department-specific policies/procedures.
  • Acts as primary point of contact for travel related issues.
  • Attends first year, transfer, and graduate recruitment team meetings as necessary.
  • Conference and College Fair Process - Oversees the registration process for all paid events (excluding high school visits) and conferences:
  • Monitors the collegefairs@colorado.edu (mailto:collegefairs@colorado.edu) inbox.
  • Logs event invitations and conferences/ professional development into Slate and forwards to the appropriate staff member for their consideration.
  • Ensures events are labeled appropriately in Slate as declined, cancelled, tentative or confirmed.
  • Registers staff for events and conferences and pays associated fees.
  • Manages the annual conference request process and separates requests by team for each Director to review and approve.
  • Procurement- Functions as a purchaser for all goods and services, supporting the Office Coordinator as needed:
  • Holds a procurement card.
  • Performs the Requestor role in CU Marketplace.
  • Creates purchase orders and payment vouchers.
  • Processes payments for recruitment activities, college fair registrations. conference registrations, and professional memberships.
  • Serves as a travel card expense delegate for all Admissions staff.
  • Other Duties as Assigned, which includes but is not limited to:
  • Serves as payroll and HR back up to the HR and Operations Manager.
  • Assists with projects as needed for the department.
  • Assists with administrative process design and documentation of general policies and procedures .
  • Ensures digital prospective student leads are downloaded from StriveScan, GoToCollegeFairs, Visit Days, and any other college fair platforms, and forwards to the Admissions IT team.
  • Participates in “All-Hands On-Deck” recruitment events.

What We Require

  • Three years of experience in an occupational field related to the work assigned to the position.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
  • A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years.
  • Colorado residency is required.

  • Ability to work independently.
  • Strong written and verbal communication skills.
