University of Colorado Anschutz Medical CampusDepartment: Pediatrics | Section of Critical Care MedicineJob Title: Open Rank Program CoordinatorPosition #: 728605 – Requisition #: 33929Job Summary:This is a full-time position in the Department of Pediatrics, Section of Pediatric Critical Care Medicine (PCCM). This position works closely with the educational leaders of the section, particularly the fellowship leadership team including the Program Director (PD) and Associate Program Director (APD). This position will serve as the Program Coordinator for the fellowship program and be responsible for supporting the development and administration of the fellowship program. This includes recruitment of fellows, orientation, tracking of requirements, evaluation of fellows, faculty, and program components, and working with the PD/APD on annual surveys and reports. In addition, this position is responsible for implementing and overseeing the educational experiences for all outside rotators in the Pediatric Intensive Care Unit (PICU) including other pediatric subspecialty fellows, outside resident rotators and medical students.

This position can be hybrid with 2-3 days at home and 2-3 days in the office, or full-time in the office at Children’s Hospital Colorado.
Key Responsibilities:Essential Functions Performed at the ENTRY (and all higher levels)General Program Management
  • On-boarding of new fellows and visiting residents/learners, organizing orientations, as well as paperwork associated with continuing and exiting fellows.
  • Manage learning management system (currently MedHub) database.
  • Edit and update the Program Manual and Program Agreements based on guidance from leadership.
  • Follow ACGME, CU GME, CHCO and Department/Section policies and processes to meet accreditation and day-to-day operational requirements.
  • Maintain individual fellow’s files in electronic form, including educational and scholarly output, 360° evaluations, email communications, and certifications.
  • Attend ACGME, CU GME, and Departmental meetings for Training Program Coordinators to maintain and further develop necessary skills and awareness of new requirements and processes.
  • Provide guidance to students/residents/fellows on where program, hospital and GME policies can be found.
  • Maintain the Program’s general and recruitment-specific websites based on guidance from program leadership and fellows
Scheduling, Evaluations, Didactics
  • Coordinate dissemination and monitoring of annual rotation and call schedules; update schedules as necessary to maintain accuracy.
  • After they are created by leadership, coordinate schedules for all resident, medical student, observer, and visiting learner activities. Organize and distribute education resources to learners rotating with the program.
  • Maintain, collate, and update trainee evaluation templates, duty hours, and attendance through MedHub or other electronic data collection system with guidance from leadership.
  • Support educational activities (e.g., didactic conference schedule, Grand Rounds, Academic Half Day, Case conferences, etc.) that are part of the program’s curriculum and that adhere to ACGME and LCME requirements.
  • With guidance from leadership, coordinate the processes for evaluations of faculty by learners and of learners by faculty.
Accreditation and Compliance
  • Support compliance with ACGME program requirements, the American Board of Pediatrics, GME policies and procedures, and related departmental policies.
  • Coordinate accreditation activities based on guidance from the Program Director(s), including LCME and ACGME Site Visits
  • For the annual program review, pull data and collect information for the PD and APD to use in the review.
Finance
  • Track budget items and fellow funding based on information provided by Business Manager and Program Director(s)
  • Process fellow expenses in the appropriate hospital and University systems
  • Submit GME educational funds request paperwork to GME and ensure that educational funds are received and divided among the fellows for the year.
Recruitment
  • Following guidance from leadership, organize application review and interview invitation processes, candidate invite and scheduling processes, organize the interview day schedules, oversee the virtual interviews, and organizing the applicant ranking processes.
  • Collect information on applicants from the national resident applicant database, Electronic Residency Application Service (ERAS)
  • Create and disseminate recruitment materials to the interview committee and fellows.
  • In collaboration with leadership, be readily accessible to coordinate responses to questions about the fellowship throughout the course of the year.

  • Working knowledge of English grammar to edit and format written documents such as program manuals, program agreements, meeting minutes, etc.

The above hiring range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation depending on the level.
