Overview:
The University of Jamestown is expanding in Fargo and is seeking a highly organized and detail-oriented Administrative Assistant to provide essential support to our nursing, leadership, counseling, and behavioral health programs. This role is integral to the welcoming environment and efficient operation of our programs.
Responsibilities:
1. Office Management:
- Maintain a comprehensive inventory of office supplies, ensuring availability for faculty and staff,
- Maintain confidential files, such as student records, enrollment data, and admission applications in compliance with institutional and departmental policies,
- Manage electronic records of financial expenditures related to the programs, assisting with budget tracking and reporting,
- Handle incoming and outgoing mail, distributing correspondence promptly to relevant recipients,
- Serve as a primary point of contact for faculty and students, offering assistance and guidance as needed.
2. Support for Nursing Program Leadership and Faculty:
- Assist the team with programmatic and clinical scheduling,
- Assist in the ordering of lab and simulation supplies, as needed,
- Assist nursing faculty in nursing-specific software such as Castle Branch, ATI, and Microsoft Scheduling,
- Assist nursing faculty with the development and formatting of syllabi, ensuring alignment with program objectives and accreditation standards,
- Maintain all syllabi on the Nursing L-Drive for easy access and reference,
- Attend weekly Program/Site Team Meetings, recording accurate minutes and maintaining records on the L-Drive,
- Organize, track, and manage records of admission and clinical prerequisite requirements for students, faculty, and adjunct instructors facilitating compliance with program guidelines,
- Coordinate the collection and organization of data for the Annual Program/Site Self-Evaluation Plan (SEP) meeting, including updating the SEP with current data and recommendations,
- Assist in gathering necessary documents for national accreditation and state approval reports, ensuring adherence to regulatory requirements,
- Monitor student admission, progression, and retention metrics, compiling and analyzing data for reporting purposes,
- In collaboration with the Site Director and the Director of Institutional Effectiveness, update, distribute, and tabulate findings of course evaluations, faculty evaluations, alumni surveys, and assessment reports,
- Compile and format data for survey reports required by accrediting bodies such as the North Dakota Board of Nursing (NDBON), Commission on Collegiate Nursing Education (CCNE), and Commission for Nursing Education Accreditation (NLN CNEA) facilitating timely submissions.
Qualifications:
- Previous administrative or project management experience in an educational setting,
- Preferred knowledge of FERPA, HIPPA, and OSHA regulations,
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with or willing to learn Learning Management Systems (LMS) such as Canvas and other record management systems and scheduling platforms,
- Strong organizational skills with the ability to prioritize tasks, as well as manage deadlines and frequent interruptions effectively,
- Excellent communication skills, both verbal and written, with a customer service-oriented and student-centered approach,
- Attention to detail, accuracy, and confidentiality in data management and record-keeping,
- Ability to work collaboratively within a team environment while also demonstrating initiative and autonomy.
