Job Summary
Provide high-level executive support to the Associate Dean at UK College of Medicine’s Northern KY Campus in Highland Heights, KY. Manage calendars for the Associate Dean. Prioritize requests for meetings, resolve scheduling conflicts while maintaining a positive image for the campus. Schedule and coordinate meetings and appointments including logistical needs for meetings, as well as taking meeting minutes as needed. Ensure accurate and timely communication for the Associate Dean. Coordinate logistical needs and process associated expenses for meetings with students, faculty, and staff, including meetings and events for Student Affairs/Office of Medical Education-supported student groups (learning communities, Resilient, and Association of American Medical Colleges (AAMC) Organization of Student Representatives (OSRs)). Coordinate logistics of elections for OME-supported student groups. Complete travel arrangements and process associated expenses. Maintain files, draft correspondence on behalf of Associate Dean and Student Affairs (often of highly confidential nature), and answer phones.
Responsible for completing special projects and assignments, as directed by the Associate Dean and Student Affairs. Work with and on behalf of the Associate Dean and Student Affairs on several high-level projects to capture meeting notes, action items, and manage assigned tasks. Perform time-sensitive tasks. Work independently to research topics, assist in solving problems, and compile information for the Associate Dean and Student Affairs. Collaborate with Associate Dean and Student Affairs to plan forand manage events such as student orientations, White CoatCeremony, Convocation, Alpha Omega Alpha and Gold Humanism HonorSociety induction, AOA Research Day, Senior Awards Ceremony, andGraduation, including but not limited to: organizing andfacilitating planning meetings, determining the event date,coordinating logistics and catering, securing event space,working with College Communications on scripts and programs,partnering with UK Event Management and UK HealthCare IT, andsoliciting nominations for awards. Work with a variety of facultyand staff to develop and maintain key project management andspreadsheet software to create and/or maintain timelines andtrack resource allocation, performance metrics and otherproject-related information such as Microsoft Project, PowerPointpresentations, organizational charts, and other tools.
Skills / Knowledge / Abilities
Excellent written and oral communication skills as well asoutstanding interpersonal attributes (leadership, diplomacy,exceptional communication skills, and confidentiality) andabilities to effectively interact with a diverse group of people.Reliability and follow-up. Outstanding organizational skills:problem-solving; organization and prioritization; attention todetails; proficiency with MS Outlook, Word, Excel, PowerPoint.
