Statement of Job:

Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine at Augusta from February 9 through February 16, 2024 and to external applicants thereafter.
The University of Maine at Augusta is seeking applicants for a full-time Administrative Specialist, Classification Level 3 (CL3) position in the Financial Aid office, providing assistance to students in the areas of Student Financial Aid. The Administrative Specialist CL3 performs a variety of primarily routine, and some non-routine, clerical and administrative support responsibilities and tasks. Tasks are completed following defined procedures and standards, and the specific steps of most routine tasks are defined.
Duties include, but are not limited to:

  • Providing front-line support to students/families upon entry into the office, answering phone calls, sending emails, and greeting people in person.
  • Collecting and disseminating a variety of written and verbal communications requiring knowledge of relevant policies, procedures, and rules; providing explanations requiring some interpretation of policy to common questions and requests.
  • Scanning, linking, routing, and filing documents.
  • Maintaining databases.
  • Monitoring and maintaining inventory and ordering supplies.
  • Scheduling and preparing for meetings/events.
  • Handling confidential information.
  • Compiling, sorting, and summarizing a variety of routine data.
  • Reviewing data for accuracy and completeness, including source data.
  • Handling verbal and written communications for a broad range of questions, issues, and requests in assigned area of responsibility; preparing customized memos and related communications for non-routine issues; identifying needs of various parties to determine appropriate response.
  • Serving as contact for outside vendors, agencies, and organizations.
  • Reviewing, interpreting, and explaining policies/procedures to students, parents, and other staff.

The Administrative Specialist CL3 performs administrative and clerical work which requires extensive procedural knowledge and organizational skills. Work involves considerable internal and external contacts as well as handling verbal and written communications for a broad range of questions. The ability to work as part of a team is essential, as are providing exemplary customer service, maintaining confidentiality, the ability to manage multiple tasks and prioritize, and the ability to work in a diverse environment with many interruptions. The Administrative Specialist CL3 works under minimal supervision.

Work schedule: Monday - Friday, 8:00 AM to 5:00 PM. Occasional additional evening and/or weekend hours may be required.
Working Conditions: This position typically works extended hours at adesk, using LCD monitors and other general office equipment.
Wage: $19.59 per hour (Wage Band 23) or the appropriate transfer rate for a current UMS employee.

Qualifications:

Knowledge, Skills, and Abilities:

  • Must possess knowledge of customer service principles

Required Qualifications:

  • Sixty credits or more of higher education or equivalent work experience and training
  • Three years of administrative support experience

Preferred Qualifications:

  • Experience in a university or similar office setting
