Summary

The Department of Obstetrics and Gynecology (OBGYN) is seeking a highly motivated Research Administrator Manager with expertise in post-award management to oversee a team of 3 Senior Research Administrators (post-award) and provide post award grant management to highly complex projects.

The successful candidate will support the team and faculty with post-award grant management, while ensuring compliance with all applicable regulations and University policies. We are looking for someone who has a positive attitude, is eager to learn, and has a passion for providing exceptional customer service to our faculty, project teams, and colleagues within the Department, Medical School, and University. This position is responsible for the complete administrative research process for a defined group and will oversee and participate in post award sponsored research activities. This individual will communicate relevant Sponsored Programs requirements and procedures to faculty and ensure the ethical management of funds. They will advise provide oversight by monitoring budgets and spending, approving capital equipment requisitions, and providing guidance and counsel for the stewardship of sponsored research funds.

Responsibilities*

Supervision

  • Provide direct supervision to a team of 3 post-award Research Administrators.
  • Coach, review, and delegate work equitably among the team.
  • Serves as a resource and is responsible for on-boarding, training, and development of staff.
  • Support all administrative supervisory responsibilities, which includes, interviewing, hiring, on-boarding, orienting, timesheet approval, coaching, discipline, etc.
  • Participate in goal setting for direct reports, and complete quarterly and annual evaluation processes.

Department Leadership

  • Develop best practices for post-award management, including a regular meeting cadence with PIs, and standardized reporting.
  • Counsel staff and investigators on topics related to post-award administration.
  • Provide subject matter expertise within OBGYN research administration and advise on technical aspects. Resolve local issues, varying in complexity.
  • Manage large projects or processes with limited oversight from CDA.
  • Review transactions and resolve issues that requires a complex level of financial understanding such as cost-sharing and/or effort reporting knowledge.
  • Ensure compliance with all appropriate policies and procedures. Ability to identify misconduct, noncompliance and nonperformance and properly report.
  • May resolve larger-size compliance-related issues. Identify potential compliance-related issues and offer suggestions for handling before escalating larger issues to Supervisor.
  • Identify internal offices providing support to research in schools/colleges/units and understand their roles and responsibilities.
  • Maintain an understanding of enterprise-wide administrative systems. Build and maintain relationships with internal departments, colleagues, and external individuals.
  • Serve on internal and external committees and workgroups. Represent the department to other administrators with moderate authority to make commitments on behalf of the unit.

Research Administration Grants Management

  • Lead post-award grants management for complex, multi-site projects, including federal and non-federal.
  • Provide principal investigator with monitoring reconciliation of grants and contracts to ensure expenses are being paid according to the contract and in line with university regulations.
  • Prepare budgets, budget justifications, review PAFs, establish subaccounts, and evaluate space requirements.
  • Independently manage the post-award process (reconciliation, effort management, internal and external financial reporting) and monitor awards received.
  • Interpret regulations and guidelines of multiple programs funding with relatively complex and broad guidelines for spending.
  • Assist project directors in interpreting sponsor or third-party regulations.
  • Review and approve expenditures for materials, equipment, support staff and travel.
  • Resolve inquiries from faculty, staff, sponsors, internal departments, and external stakeholders.

Required Qualifications*

  • Bachelor's degree or equivalent combination of education and work experience.
  • 5 or more years in research administration.
  • Have excellent organizational skills including the ability to set priorities and manage competing deadlines in a high-volume, fast-paced environment.
  • Have exceptional written and interpersonal communication skills.
  • Have a positive attitude and commitment to providing excellent customer service.
  • Ability to make decisions independently based upon established processes and work experience with programs.
  • Advanced skills in Microsoft Office and Adobe Professional.
  • Demonstrated understanding of multiple constituency groups in the University and work to improve relationships among those groups.
  • Demonstrated knowledge of trends in higher education relating to their constituency group and functional area.
  • Advanced knowledge of the deadline policy and purpose for Sponsors, ORSP, and units and understanding of how they relate.

Desired Qualifications*

  • Master's degree in finance/research or related degree.
  • Research administration certification from an accredited organization.
  • 5 yrs. experience in finance and research administration.
  • 3 or more years of direct or functional supervision.
  • Knowledge of policies and procedures, specifically related to sponsored projects and financial systems; familiarity with ORSP, UMOR, eResearch, Business Objects, and Wolverine Access reporting tools including HR and Financial tools, faculty appointments and subcontracts.
  • Experience preparing federal proposals, contracts, or foundation grants.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
