College of Arts & Science - School of Language, Literatures, and Cultures (SLLC)
Job DescriptionChair Support & Event Coordination
  • Take faculty meeting minutes. (Monthly)
  • Assist with events and provide other logistical support
  • Reconcile department chair’s OneCard expenses
  • Make reservations for chair
  • Maintain department rosters
  • Provide regular administrative and office support to the chair and department, including all student-facing services, events, and publicity.
Faculty Support & Management
  • Answer faculty questions regarding ordering supplies, assisting with travel as well as booking for events on campus
  • Order supplies
  • Work with our Directors of Graduate Studies (DGS) and Directors of Undergraduate Studies (DUS) to gather information needed
  • Address any and all concerns brought to attention
  • Participate in course scheduling and maintain the course catalog and CIM.
  • Coordinate IT requests for faculty and arrange rooms for testing and special class activities.
  • Send graduate information to fiscal personnel and the Graduate School biannually.
  • Issue permission numbers as needed for course enrollment
Student Support
  • Greet and address any student needs brought to the attention
  • Assist with course permission numbers
  • Work with the department chair and DUS on catalog updates each year.
  • Work with the department chair and DUS on scheduling for each term.
  • Liaison between faculty and Registrar to create new course sections upon request
  • Process reimbursement requests for grad students who travel for program requirements
  • Support graduate student programs by ensuring clear, professional communication with students and the graduate school, managing student recruitment, progress, and completion updates.
  • Maintain graduate student records and manage student office assignments.
  • Collaborate with the Director of Undergraduate Studies to reserve rooms for events, order promotional materials, and facilitate communications for language programs interfacing with student clubs, majors, or minors.
  • Organize student evaluation materials and file evaluations in faculty digital personnel records.
  • Facilitate MA tests as needed, including requesting computers and setting up rooms.
  • Collect renewal letters and new offer letters twice a year (fall primarily, with additional requests as needed in spring).
Facilities & Supplies
  • Act as Building Coordinator and everything that entails. (3-7x monthly)
  • Coordinate faculty access including keys, swipe card access
  • Manage equipment and space inventory
  • Order and track office supplies
  • Sort and distribute mail
  • Maintain departmental supplies and office key assignments.
  • Handle mail requests, including campus mail and FedEx shipments, supporting the Directors of Graduate Studies and Graduate Admissions as needed.
Other Responsibilities
  • Work with department manager to distribute scholarships in Scholarship Universe and coordinate prize awards
  • Ensure the maintenance and upgrade cycle of departmental IT infrastructure, including copiers, in collaboration with the chair and IT.
  • Notify students and post notices for professors who are ill or absent.
  • Assist in maintaining a tutor list and email it to those requesting it
  • Provide direction and assistance with IT inquiries.
  • Assist students with print jobs for their classes.
  • Manage printing jobs and assist with room scheduling for events, tests, and special classes.
  • Work collaboratively and creatively with a team to achieve departmental goals and enhance operational efficiency.
Provide cross-coverage for other portfolio Office Support Assistants.
Shift
Monday - Friday, 8am - 5pm
Minimum QualificationsHigh school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary
Anticipated Hiring Range
Salary Range: $16 to $20 per hour
Grade: GGS - 006
