Job DescriptionThe Sinclair School of Nursing is looking for a program and administrative support coordinator to support the areas of alumni engagement, advancement, human resources, and back up administrative support to the Senior Executive Assistant to the Dean. The successful candidate will foster and maintain positive relationships with team members, internal and external customers, and the community.
The coordinator will focus on delivering efficient, professional, and effective processes as a representative of the Dean’s office and Sinclair School of Nursing. It is important for the person in this role to possess excellent organizational skills, be proactive, and possess a professional demeanor.
Key Support Efforts Performed By This Position Will Include
  • Provide general support to the senior executive staff assistant, director of engagement and strategic relationships and senior director of advancement. This may include collecting information for reports and presentations, processing incoming gifts, sending/responding to advancement and alumni engagement emails and forwarding as needed, working in the Advance database, and supporting the sales activities of the Student Nurses Association.
  • Work closely with the director of engagement and strategic relationships to coordinate the virtual/in-person class reunions (as well as reunion day), run reports detailing key alumni to contact as dean travels, create confidential alumni profile sheets for the dean and alumni relations director, help assemble alumni/faculty nomination award packets and plan celebration for alumni/faculty award winners.
  • Coordinate Nursing Alumni Organization sponsored events each semester. This will include scheduling, organizing, implementing, and recording processes, ordering food/supplies, and working the event. Assist with alumni/donor events, such as the annual awards banquet, reunion day, Nightingale induction, Dean’s Dinner, Faculty & Alumni awards luncheon, etc. including running/verifying Advance reports, creating/sending invites, collecting RSVPs,, setting up and working the event. Create a file for each event and record what processes were involved, vendors, food items, number of participants, what worked well, what did not work well for future references in the coming years.
  • Manage travel arrangements as necessary (car rental, plane, hotel, registration, and restaurant reservations); prepare expense reports.
  • Serve as the back up to the senior executive staff assistant in their absence. This includes updating the dean's calendar, scheduling meetings, assisting occupants with questions/concerns, and preparing materials. Ensure business continuity of the dean’s office in the absence of the dean’s assistant.
  • Support human resources in recruitment and onboarding activities, including communicating with applicants and supervisors, scheduling for and assisting with meetings, and performing assignments that may include processing actions of new hires, terminations, pay adjustments, and corrections, data entry, and record keeping. May assist with training and development activities.
Shift
Monday thru Friday, 8:00 a.m. – 5:00 p.m., but may vary based on event calendar.
Minimum QualificationsA Bachelor's degree or an equivalent combination of education and experience and 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
  • Persuasive communication with exceptional organizational and time management skills.
  • Previous experience in roles requiring demonstrated leadership, character, collaboration, communication, creativity, critical thinking, metacognition, mindfulness, growth mindset, and fortitude. Additional desired proficiencies and attributes include customer service, confidentiality, integrity, and a commitment to inclusion, diversity and equal opportunity in their activities.
  • Experience and knowledge in the areas of human resource, event planning, administrative support and advancement are a plus.
  • Strong proficiency in Excel and Microsoft Office. Previous experience with databases would be helpful.
  • Previous experience working in a matrix role or adept at handling multiple priorities is beneficial.
Anticipated Hiring Range
Salary Range: $20.66 hr - $28.00 hr
Grade: GGS-09
