Job Description

Basic Function and Responsibility

  • Provide clerical support for full-time Office Staff and Administrative members on a wide scope of projects, presentations, and duties. Ideal candidate focuses on completing work effectively, efficiently, and capable of cross training in other areas. Ability to utilize a copy machine, fax machine, PC computer, communicate through e-mail and network space. Solve straightforward problems using existing procedures; resolve and dissipate conflict situations by implementing problem-solving techniques. This position is best suited for a student or individual looking for part-time work with a flexible schedule. Adhere to University and Adventure Club policies and procedures. Additional duties as assigned.

Supply Ordering/Control and Distribution

  • Verify order accuracy upon delivery.
  • Distribute purchases and process returns as needed.
  • Receive, and stock snack weekly for all Adventure Club sites.

Clerical Duties

  • Prepare letters, mail, scan, or create documents upon request.
  • Collect, track, and file paperwork for schools, student personnel forms, and sign in/out sheets, etc.
  • Maintain use of laminator on bi-weekly basis and communicate any changes in scheduled time to staff.
  • Assist new employees with orientation and other online trainings.

Support for Office Staff

  • Cross train and assist front office staff with varied duties to ensure proper functions.
  • Accept payments, including checks and money orders, from the 700 families.
  • Assist with visitors, accept deliveries, and answer routine program questions from customers.
  • Screen and receive phone calls for staff members, deliver accurate messages when required.
  • Check voicemail every half hour and return calls within one hour.
  • Maintain email awareness and respond promptly, ensuring clear, professional correspondence. As email is a primary communication method in our office, reliable email communication is essential.
  • Maintain general appearance of communal space, snack room, workroom and recycling.
  • Assist when having special events with set up, cleanup, and other requests.
  • In the absence of the CSA, delivery of CRR deposits to the Office of Cashiers located at 325 Jesse Hall.
  • Other miscellaneous drop off and pick-ups upon request.
  • Employee receives reimbursement for mileage.

Shift

  • 20-28 hours per week.
  • Preferred hours: Monday–Friday 10:00 AM – 2:00 PM.
  • No hours scheduled:
  • Thanksgiving week.
  • Two weeks during December holidays and New Year’s.
  • Spring Break.
  • Summers, negotiable and dependent on departmental needs.
  • May flex schedule and hours for the right candidate.

Minimum Qualifications

High school diploma or equivalent and at least 6 months of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Must be able to lift up to 50 lbs
  • A valid driver’s license and reliable transportation needed for errands (Campus Cashiers, CPS, Post Office, etc.)
  • Ability to pass a comprehensive criminal background check and additional FBI fingerprinting check.
  • Must have a cell phone or reliable communication methods.
  • Positive attitude.
  • Dependable and organized.
  • Strong written and oral communication skills.
  • Attention to detail.
  • Ability to efficiently utilize Word, Excel, e-mail, internet, and network.
  • PeopleSoft knowledge preferred, but not required.

Anticipated Hiring Range

Salary Range: $15.00 - $16.00 per hour

Grade: GGS-003
