Working Title | Executive Assistant - Neurosurgery |

Position Summary | The Department of Neurosurgery is in search of a highly motivated individual who is detail-oriented. This individual will be responsible for providing administrative support to a busy Department Chairperson and Department Administrator. As the Executive Assistant, you will be responsible for managing complex administrative and communication operations within the Chairperson's office. This role requires a high level of initiative, creativity, and personal responsibility as it involves handling various day-to-day operations. One of the key responsibilities of this position is to coordinate the daily and long-range activities of the Chairperson. This includes triaging and responding to correspondence on behalf of the Chairperson. Additionally, you will be acting as a liaison between the Chairperson and various leaders across the School of Medicine, HSC, and University of New Mexico systems, as well as faculty, staff, students, and national and international leaders. It is essential that you continuously interpret and assess the needs of the department while adhering to the rules and regulations set by multiple governing bodies at the University of New Mexico. In this role, you must exercise excellent judgment and discretion when handling sensitive and confidential matters. The ideal candidate should possess self-motivation, reliability, flexibility, and strong organizational skills. Timeliness is also a crucial aspect of this position, as you will be expected to complete required tasks in a timely manner. Excellent verbal and written communication skills are required, as is proficiency in administrative tasks, organization, and operations. Minimum Qualifications | High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
Preferred Qualifications | Preferred Qualifications: ·Bachelor’s degree ·Experience serving as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; organizes and facilitates meetings, conferences, and other special events, as required. ·Experience with UNM’s Promotion and tenure process ·Experience with UNM procurement policies and procedures ·Experience providing assistance and support to executive leaders, project planning and management, and development and execution of stated goals and objectives ·Knowledge of faculty policies and procedures ·Proficient with Outlook, Microsoft Office and video conferencing platforms ·Experience performing research and analysis on specific issues, as required, and independently prepare non-routine letters and/or reports, which may be highly sensitive and confidential in nature ·Experience with complex scheduling ·Experience with capturing detailed meeting notes ·Strong organizational and administrative skills ·Demonstrated ability to maintain confidentiality ·Strong interpersonal and communication skills ·Timekeeper duties |
