If so, this may be the jobfor you! The Department of Emergency Medicine, EducationOffice, is seeking a professional, highly organized, customer service focused, MedicalEducation Program Specialist. Under general supervision by the MedicalEducation Program Manager and Residency Program Director, this position will beresponsible for the daily administrative aspects and coordination of theEmergency Medicine Residency Program. This is an administrative position in an education-centricdepartment. We house the 4th largest residency program in the institution, withtwo ACGME-as well as additional non-ACGME fellowships. All faculty, includingthe Chair, are engaged in our educational mission. This position requires strong attention to detail and the ability to work in afast-paced environment. Organizational skills, ability to manage time, andcommunicate effectively are a must. Knowledge of policies and procedures inworking with confidential files and records are paramount to this role. Dutieswill involve using the full complement of Microsoft programs (Sharepoint,Teams, Office, Bookings, etc), assisting with weekly conferences, processingreimbursements in Chrome River, facilitating verification and credentialing,taking minutes, updating resident files, and supervision of administrativestaff. The optimal candidate has experience inGraduate Medical Education, program coordination, or administrative support ina similar environment. They will have proven experience working in diverseteams; able to communicate at a professional level; manage multiple taskssimultaneously; and have impeccable organizational skills. They will beself-motivated, have a specific talent in customer service and adhere toconfidentiality practices. Specific Responsibilities include: Coordination of annual program recruitment initiatives and residency fairs. Management of annual academic program calendar and events- orientation month, retreats, and graduation. Maintenance and tracking of documentation required for program accreditation through the Accreditation Council of Graduate Medical Education (ACGME) and Graduate Medical Education (GME). Managing specialized confidential databases for tracking resident training requirements, conference attendance, certifications, leave requests, projects and requests. Coordination of resident rotation schedules internally and external to the institution. Purchasing for the program, Program Director and Associate Director, education faculty, residents, and office staff for business related travel and other expenses. Tracking all expenses, resident educational stipends, and managing program budget. Organizing education and business related travel for faculty and residents. Managing weekly resident conference (virtual and in person), updating conference calendar and curriculum changes, coordinating speakers and lecturers. Creating reports for biannual clinical competency committee meetings using data management systems. Implementing all Program Director, department, and institutional changes and integrate these into program administration. Learning and instituting all educational accreditation changes required by ACGME, GME and Medical Boards. Serve as primary administrative liaison to internal and external departments and agencies pertaining to resident and program specific administration. This includes ACGME, GME Office, Learning Environment Office, Emergency and other clinical departments, Emergency Medical Services Consortium, Occupational Health, Office of University Council. Minimum Qualifications | High school diploma or GED; at least 6 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis. |
Preferred Qualifications | Experience in business/academic administration or program coordination. |
