Department SummaryEarly Childhood CARES provides Early Intervention (EI) and Early Childhood Special Education (ECSE) services to infants, toddlers, and preschool children in Lane County with developmental delays and disabilities. Early Childhood CARES services include parent consultation, parent-toddler groups, specialized preschools, community preschool consultation, speech and language therapy, physical therapy, and occupational therapy. Early Childhood CARES is funded by the Oregon Department of Education with state and federal funds and is one of nine programs delivering EI/ECSE services across the state.
Position SummaryThe Office Specialist for Early Childhood CARES serves as the first point of contact for families coming into the Early Childhood CARES main office and plays a key role by performing various administrative and clerical tasks. This position welcomes clients and visitors, oversees waiting areas, and provides information regarding Early Childhood CARES programs and services. The Office Specialist answers incoming calls, monitors department email account, distributes mail, performs scheduling tasks, works with databases and inventory systems, and provides clerical support.
The Office Specialist interacts daily with the public, clients, and staff in person, by telephone, and by email. This position will have multiple deadlines and experience regular interruptions. The successful candidate will be professional and friendly, with outstanding customer service skills. The person in this position provides compassionate assistance to the program's diverse clientele while maintaining a high level of confidentiality.
The Office Specialist works independently and exercises judgment in applying established policies and procedures in daily work. This position is part of the support staff team and is supervised by the Early Childhood CARES Business Manager.
Minimum Requirements
  • One year of general clerical experience which included typing, word processing or other generation of documents; OR
  • Completion of courses or training in Office Technology; OR
  • An equivalent combination of training and experience.

Preferred Qualifications
  • Computer proficiency (keyboarding, word processing, spreadsheet and database applications).
  • Skilled with Word, Excel, Outlook calendar and email.
  • Experience with Mac computers.
  • Familiarity with Boardmaker software.
