University of San Diego is Hiring a Coordinator Near San Diego, CA

The Coordinator supports the Office of Ethical Development and Restorative Practices by coordinating the administrative functions, office work flow, budget and purchasing support and supervision of work study students. The coordinator provides administrative support for both Assistant Deans of Students (ADOS) including calendaring, correspondence, and budget processes. The coordinator oversees the preparation of materials for student conduct, Title IV and restorative justice meetings, OEDRP trainings and other events. This role serves as the administrative resource for the Restorative Justice Strategic Committee’s work. The coordinator designs and produces print materials, informational handbooks and marketing pieces. This role organizes various committee meetings and all documentation relative to such meetings. The coordinator serves as a key resource for students, employees, parents, attorneys, alumni, trustees and the general public. This role handles highly confidential information and materials. Schedules appointments, arranges meetings and travel accommodations. Supports the scheduling and purchasing needs for student media through June 2025.

Duties and Responsibilities:

Acts as the office manager to the OEDRP:

  • Represents and supports both of the Assistant Deans of Students.
  • Prioritizes office workload to ensure duties are performed correctly and in a timely manner.
  • Supervises and trains Work Study student and casual worker employees.
  • Coordinates employment schedules for student staff.
  • Conducts routine evaluations and feedback sessions of student staff employees.

Serves as primary administrative support for the Assistant Deans of Students:

  • Screens and receives visitors; disseminates information and/or refers to proper administrator/department; screens phone calls and schedules appointments.
  • Composes correspondence and memoranda on behalf of both of the ADOS, including highly confidential and sensitive material.
  • Interacts with parents of students, providing general information regarding processes and procedures; and scheduling appointments with both ADOS by phone or in person.
  • Prepares written materials, researches topics and purchases supplies for various meetings and workshops (on- and off-campus events).
  • Prepares confidential discipline materials, coordinates conduct meetings, follow-up of incomplete sanctions, maintains historical records regarding conduct issues for both ADOS.
  • Completes student conduct background checks for on campus or outside agencies.
  • Prepares, organizes and maintains general ADOS files and the MAXIENT database.
  • Assists in the preparation of departmental reports, annual budget requests and manuals by gathering, updating and summarizing information.
  • Maintains records/files for various committees and professional affiliations (Restorative Justice Strategic Committee).
  • Complete implementation plans for Strategic Plan in a timely manner and update colleagues on status of plans.

Maintains departmental databases:

  • Provides support updating the Maxient database.
  • Provides support for the uploading CRF’s, fine forms Public Safety reports, Police Reports and all information relevant to a discipline case into MAXIENT.
  • Coordinate file maintenance and the file purge process.
  • Assists students requesting discipline clearance for studying abroad, transferring, or applying to Graduate School.
  • Verifies student information/schedules through the Banner system.

Coordinates administrative matters related to restorative justice initiatives (duties increase, when Student Media moves out of responsibilities):

  • Under the guidance of the ADOS, coordinates the planning, design, and implementation of restorative justice processes.
  • Lead, design, and provides logistical support to campus-wide initiatives and trainings, under guidance from ADOS.
  • Partners with campus constituents requesting resources and support.
  • Works collaboratively alongside The Center for Restorative Justice to meet campus requests.
  • Assists with training, as requested.
  • Coordinates travel and accommodations for off campus conferences.

Responsible for informational materials, websites, publications and Social Media:

  • Designs, updates and produces various brochures (Know the Code).
  • Maintains Ethical Development and Restorative Practices websites.
  • Monitors and revises on-line version Student Code of Rights and Responsibilities policies and procedures as directed.
  • Assists in and/or oversees bulk mailings (workshops, surveys, etc.).

Manages and maintains departmental budgets for the Office of Ethical Development and Restorative Practices (duties increase, when Student Media moves out of responsibilities):

  • Reconciles accounts; creates requisitions and other accounting and finance processes monthly budget reports for the student conduct and student media budget lines.
  • Drafts and records budget transfer memos for the appropriate administrator’s approval.
  • Coordinates travel and conference arrangements: hotel and airline reservations, conference and retreat payments/deposits, and transportation needs.
  • Manages the conduct fine process by determining fine and ensuring correct amount is applied to the student’s account. Sends fine memos to student accounts, track payments, assign to proper deposit accounts and update in Maxient.
  • Reconciles One Card statements.

Provides administrative support for Student Media:

  • Schedules regular meetings with the Student Media leadership and ADOS.
  • Identifies off-site meeting locations, reserves facilities, determines and coordinates food needs, and arranges payment.
  • Oversees/manages departmental budgets for the Student Media.
    • Reconciles accounts; prepares requisitions and other accounting forms/monthly budget reports for the student conduct and student media budget lines.
    • Draft and record budget transfer memos for the appropriate administrator’s approval.
    • Coordinates travel/conference arrangements: hotel and airline reservations, conference and retreat payments/deposits, and transportation needs.
    • Processes conduct fines; send fine memos to student accounts, track payments, assign to proper accounts and update in Maxient.
    • Produce a transaction log for monthly Corporate Credit card statements.
    • Identifies off-site meeting locations, reserves facilities, determines and coordinates food needs, and arranges payment.

Special Conditions of Employment:

  • Some overtime may be required.

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree from an accredited four-year college or university required.
  • Two years of progressively responsible administrative experience required. Master’s degree may substitute for one year of work experience.

Preferred Qualifications:

  • Advanced degree preferred.
  • One or more years of experience in restorative justice work preferred.
  • Supervisory experience strongly preferred.

  • Must possess flexibility and versatility; able to adapt to and perform in new, changing or pressure situations.
  • Ability to maintain confidentiality of information regarding students and employees as required by University policy and the Buckley Amendment.
  • Ability to create and design formal presentations, informational handbooks, innovative brochures and marketing materials.
  • Ability to become familiar with University history, departments, fiscal procedures and specific governmental and other external regulations quickly.
  • Excellent skills in the use of specific equipment and tools as identified below.

  • Personal computer (Macintosh preferred).
  • Various software applications (Microsoft Office, WorkDay, and MAXIENT database systems, internet).
  • General office equipment; including primary knowledge of office printer/copier/ scanner.
