Advertised Job SummaryThis position will support the day-to-day clinic operations, clerical staff training, scheduling, and billing oversight for the numerous USC Brain Health Network Clinic Sites. The Administrator Coordinator will work with the Brain Health Department’s and collaborators to implement clinic policies, procedures, and workflows. Supervise clinic staff. This position is essential to ensure clinic success and quality patient experience for patients and caregivers.
Required Education And ExperienceRequires a bachelor’s degree and 4 or more years of experience, which may be substituted by an equivalent combination of certification, training, education, and/or experience; or an Associate degree with 6 or more years of healthcare practice operation experience.
Knowledge/Skills/AbilitiesPreferred QualificationsExcellent writing and editing skills. Excellent computer skills, including proficiency in research and with word processing and referencing software. Ability to work independently.
Job DutiesJob DutyServes as Brain Health Network clinic’s primary point of contact for all day-to-day activities. Responsible for the initial greeting and contact of the patient/caregiver and for ensuring an exceptional patient experience through the referral, scheduling, and registration process, utilizing established training, scripting, and expectations. Responsible for ensuring every patient/caregiver has all their questions addressed prior to their first appointment. Initiates appointment reminder calls and performs random patient/caregiver follow-up calls and surveys, to ensure expectations are being met/exceeded. Completes referrals process within 48 hours and responds promptly to patient inquiries via telephone following established protocols.

Job DutyResponsible for supporting patient services utilizing established protocol for the capture of complete and up-to-date patient demographics information to include insurance verification prior to the patient visit for all pre-scheduled patients. Establishes processes and maintains medical records requests for patient or external aid-referred visits.

Job DutyResponsible for time-of-service account management and the billing and collections process to include, receive and document patient-responsible payments, co-payments, past balance payments, and time-of-service patient-responsible charges. Manages patient-responsible account balances and corrects claims edits for submission to carriers. Responsible for the end-of-day closing procedure to include reconciling cash and charge batches; balancing cash drawer; preparing deposits; reconciling charges to visits and the co-pay holding file with accurate balance for each opened batch.
